The Office Manager Benelux will ensure proper admin support for the Benelux operations with the following split:

• 40% for Support of Regulatory Affaires

• 40 % for Sales/Commercial Support

• 20 % general admin tasks

Position is office-based in our offices at the DSV distribution center in Gent with two days working from home possibility.

Tasks:

Regulatory Affairs (RA):

  • Support RA tracker on Purchase Requisitions (PO) and invoicing, supplier's approval and monitoring

  • Support entry of RA information in platforms such as RIMS, RA tracker

  • Additional activities as needed

Commercial/Sales/Marketing:

  • Raising, sending, processing, and tracking of POs on behalf of the commercial team (Sales and Marketing)

  • Supporting sales & marketing with administration of external and internal events e.g. conference booking forms, venue bookings for sales meetings, materials shipping & logistics, compliance management, payments

  • Admin support for Professional Education events e.g. delegate registration, booking delegate travel, customer communications

  • Compliance-related tasks: MDeon/BeTransparent communication

  • Support Sales team with regulatory documents such as CE-DoC.

General administrative activities:

  • Support with processing mailing received at the Legal entities in Gent and Amsterdam

  • Support with annual reportings bebat, environment for the Belgian entity

  • Administering security and safety regulations as Health & Safety Coordinator for the Benelux operations, including administration of health checks and dosimeter admin

  • Colleague Time & attendance admin support

  • Ad hoc admin tasks

Qualifications/Skills:

  • Education and/or Degree in Office Administration/Support or similar

  • Relevant experience in an administration role, ideally in a regulated industry

  • Trilingual Dutch/ French/ English

  • Ability to work autonomously an absolute must
