Ricoh Americas Corporation Senior Receptionist in Winnipeg, Manitoba

Senior Receptionist

Monday-Friday, 8:30am-4:30pm CT.

The Senior Receptionist is responsible for a wide range of office duties. This includes greeting and assisting visitors, answering and transferring all incoming calls and scheduling appointments. May also be required to support mailroom and catering functions.

Responsibilities:

  • Courteously greet and welcome customers and general members of the public, while managing guest wait times

  • Answers, screen and direct all incoming calls

  • Monitor and ensure the reception area is kept tidy and projects a professional image

  • Prepare visitor and access badges, as required

  • Manage emails & mailbox, actioning items in a timely manner

  • Oversee meeting room bookings and ensure meeting/conference rooms/visitor pantry are presentable and “tour ready”

  • Review and update internal telephone directory, as required

  • Maintain kitchenette and order office and catering supplies, as required

  • Performs "white glove service" for clients which includes informing layers directly of their arrival - escorting to boardroom, liaising, taking coats, beverage orders, wi-fi access, etc.

  • Provide mailroom support; sorting and distribution of mail and office supplies, including interoffice, couriers and overnight mail

  • Perform regular floor walks to ensure space is maintained appropriately and in optimum condition

  • Hospitality support, order catering and cleaning up when required

  • Documents all relevant procedures, both Ricoh and client security, ensuring overall compliance to policies

  • Be familiar with the location of emergency exits and procedures, and be aware of the locations of emergency supplies and First Aid Kit(s)

  • Maintain familiarity with all conference equipment and be able to trouble shoot minor issues.

  • Perform administrative support tasks

  • Other duties as assigned by manager

  • May be physically demanding requiring frequent standing, lifting, etc., as necessary

Qualifications :

  • High School Diploma or equivalent

  • Minimum of 2 year reception experience

Skills:

  • Excellent verbal and written communication skills

  • Excellent interpersonal skills

  • Strong self-motivation to drive results

  • Prioritize and time management skills

  • Intermediate knowledge of Microsoft Office applications
