Job Description:

Administrative Associate

Shift: evenings 4 hour shifts, 3:30pm - 7:30pm

including every other weekend and holiday rotation

Educational requirement High School

Provides administrative support for the unit.

Answers phone and responds to questions, directing calls to other team members as appropriate or taking messages.

Greets patients and visitors. Answers questions, signs forms, and/or directs the individual or questions as appropriate to ensure efficient unit flow and patient/family member satisfaction.

Processes physician and other orders utilizing electronic medical records and manual orders. Monitors orders and notifies nursing staff promptly of pertinent issues. Questions unclear orders and seeks clarification from the nursing and medical staff.

Receives admittance information. Begins the patient placement process and ensures the room is available for the patient.

Maintains accurate and complete medical charts including forms necessary for daily use. Copies and faxes paperwork as required.

Pages and contacts physicians for consults.

Schedules tests and other diagnostic services with other hospital departments and off-site providers.

Arrange ambulances and transport services.

Follows through on orders for medical equipment and other non-medication needs.

Prepares patient records for discharge. Review medical records and advise nursing staff if forms are needed prior to discharge.

Prioritizes functions based on emergency situations.

Completes administrative tasks which may include but are not limited to data entry, letter typing, and spreadsheet creation..

Maintains an adequate inventory of non-medical supplies

Oversees office equipment.
