Performs administrative duties for an Executive within the company. Work requires some analysis and use of initiative and independent judgment with frequent access to confidential and highly complex information. Is knowledgeable of corporate policy and procedures. Is often called upon to interpret and communicate the Executive’s intent to other leaders. Works effectively with little or no supervision.

Core Administrative Activities include but are not limited to:

• Act as liaison with customers, partners, and team members in a professional and effective manner, as the administrative assistant is recognized as key contact within the marketing and engineering organizations

• Monitor and manage meetings requests and/or initiate meetings and reviews that may include catering when necessary

• Initiate and formulate travel arrangements according to calendar, anticipate and prepare detailed itineraries to management team

• Manage and submit expense reports

• Gather, collate, and issue reports on a regular basis as requested by the team

• Perform administrative tasks involving purchasing transactions including submission and tracking of internal requests including but not limited to purchase orders; contracts subscription renewals; software ordering

• Establish processes to support multiple Marketing Directors and engineering teams

• Must work as a team member with the other assistants in the division, sharing workloads and tasks when necessary

Job Qualifications:

  • Minimum of 5-10 years of experience providing administrative support to marketing and engineering organizations

  • Strong Office 365 skills: Word, Teams, Excel, SharePoint, PowerPoint

  • Must have strong organizational skills with attention to detail

  • Ability to manage multiple priorities, exercise discretion and show initiative

  • SharePoint knowledge is highly desirable

  • Strong communication and influence management skills

  • Must work in the office on Tuesday and Wednesday each week and any other days as required by the team.

  • Desired: BS/BA degree (or equivalent) is preferred, but not required

The hourly range for this position is $31.44 to $56.58 and this role is eligible to earn incentive compensation. The actual compensation offered is based on the successful candidate’s work location as well as additional factors, including job-related skills, experience, and relevant education/training.
