AAA Mid Atlantic Executive Assistant to Executive Vice-President in Wilmington, Delaware

Primary Responsibilities:

  • Extensive calendar management for the EVP. This includes paying strict attention to details and anticipating potential changes and problems. Independent decision-making is required; EVP’s extensive travel out of the office requires business to be handled effectively in their absence.

  • Manage work flow to assure all deadlines are met.

  • Creating and maintaining an efficient digital filing system for legal documents and correspondence ensuring accurate and organized record keeping.

  • Extensive PC related duties (correspondence, project assignments, report generation, etc) including use of Microsoft Office (Excel and Power Point).

  • Review reports related to legal activities for completeness and accuracy including proper format, grammar, spelling, punctuation, and adherence to policy and procedure; extracts and compiles data and other information for reports; and copies and distributes information.

  • Create high quality PowerPoint presentations.

  • Track and review all legal bills and payments, ensuring timely processing and accurate financial record keeping.

  • Represent the EVP and ACA in dealings with AAA members, insureds, Board of Directors, AAA National, other AAA clubs, internal associates and various external constituencies.

  • Plan large meetings for the entire organization, i.e. Town Meetings, Manager/Supervisor Meeting. Responsibilities include but not limited to scheduling dates, locations, coordinating logistics, transportation needs, presentation requirements, and technology setup. Planning these meetings may be done autonomously or as part of a larger team.

  • Project analyst role in performing special projects: designing reports; capturing data, information and opinions; performing analyses; providing summaries and exception information.

Minimum Qualifications:

  • Strong ability to work autonomously at a level normally acquired through the completion of an Associate’s degree and eight years of professional administrative experience. Comparable combination of education and experience also considered.

  • Excellent interpersonal skills, project coordination experience, high degree of flexibility, and strong communication skills to work well with all levels of internal management and staff, as well as external contacts within AAA Federation and other outside vendors.

  • Strong communication skills, both oral and written are required.

  • High level of expertise in PC software, organizing work, coordinating, developing reports, internet research and handling multiple assignments concurrently.

  • Proven ability to be flexible and adapt quickly to changes within the organization.

  • Proven ability to maintain confidentiality in dealing with highly sensitive data and situations.

  • Knowledge of AAA Federation and business lines highly desirable.

  • Delaware Notary Public-license preferred or willing to obtain within 6 months

  • Good working relationship with senior executives, board members, and other administrative assistants highly desirable. Ability to work as a team player is essential.
