As a team member in our diverse HR Organization the person in this position will be an integrated HR assistant and must be an agile self-starter, who is capable to work autonomously with various stakeholders across the HR organization. This person will report to the Business Excellence Manager and work closely with HR partners across all HR functions, from HR Service Provider to the HR Director. Regular presence between AbbVie sites in Wiesbaden and Ludwigshafen may be necessary at times.

Moving mountains together – as HR Business Excellence Assistant (all genders) (24 months temporary / full-time)

Your responsibilities:

  • Organize administrative activities for the HR Director Germany and German-based HR-Management-Team, from office supply and calendar management till business travel

  • Plan, organize HR internal events and workshops and define an agenda together with the HR Management Team as well as arranging the respective logistics

  • Act as local point of contact for all administrative HR activities such as ingoing mail and answering of BEX/HR mailbox, outgoing communication/announcements, processing of printed contracts/documents, preparing of local works council hearings, acting as first point of contact for client’s question on site

  • Partner with admin networks across sites, forward and share relevant information and routine communication to the teams, ensure usage of proper channels and coordinate team and alignment meetings

  • Support the daily HR-business and HR-Management team with HR administrative back-office tasks such as reporting, updating standard templates/documentations

  • Organize the onboarding of new joiner in HR, from organizing all tools and accesses prior to start till onboarding concept, support organizing of general HR onboarding activities such as Welcome Day

Qualifications

Qualifications:

  • Apprenticeship, preferred bachelor's degree

  • Ideally experience as an assistant or

  • Ideally 1+ year of HR experience, internship, or other relevant experience

  • Strong oral and written communication skills, able to communicate with diverse set of stakeholders across the organization and find solutions in a matrix organization

  • Coordinate and prioritize multiple activities in parallel

  • Plan, organize and facilitate appointments, workshops and other activities

  • Positive, solution-oriented mindset

  • Proactive thinking and acting to solve potential problems upfront

  • Ability to manage sensitive information

  • Ability to use Excel, PowerPoint, Word and virtual meeting technology

  • Fluent German and English - spoken and written
