Summary The Robert J. Dole VA Medical Center is seeking a motivated Program Support Assistant to serve our Veterans within the Pathology & Laboratory Medicine Service (P&LMS). Responsibilities The incumbent serves as a Program Support Assistant for Pathology & Laboratory Medicine Service (P&LMS) of the Robert J. Dole VA Medical Center (RJDVAMC) reporting to the Laboratory Manager. The incumbent performs duties directly contributing to the administrative management within the Service Line including providing clerical, administrative and/or technical support to the P&LMS Chief and the Laboratory Manager. Additionally, the Program Support Assistant assists the pathologist/s in the retrieval, entry, and correlation of data for anatomic pathology reports and surgical case review. Duties include but are not limited to: Collect data and maintains statistics of pathology cases for quarterly reports for tumor board and pathology conferences. Receives inquiries for information of laboratory data and refers calls/correspondence to appropriate laboratory staff. Assists pathologist in contacting providers regarding newly diagnosed malignancies and provides administrative/clerical support in referral of cases to outside facilities, such as (Reference Laboratories). Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments. Edits and composes letters and reports, proofreads pathology reports and correspondence for procedural and grammatical accuracy, and develops standard or form letters and replies to inquiries. Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Completes research, files, and assembles background information related to the incoming material prior to referral. Provides general clerical public contact support services such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures, as well as similar information. Obtains and monitors the use of services, supplies, or equipment for the office. Reproduces/procures local forms. Responsible for submitting supply requests and form requests for those obtained from national sources. Serves as the primary and backup timekeeper for P&LMS. Processes by manual computer entry into the patient's electronic medical record, pathology reports received from reference laboratories. Includes both manual computer entry for pathology reports as well as scanning of select reports. Accessions and coordinates submissions of samples and request forms for specialized referral testing, including arrangement of delivery services and follow-up tracking of samples. Processes general pathology samples and performs necessary tasks to ensure specimen receipt, handling, accessioning, and completion of appropriate documentation necessary for submission to testing facility. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/30/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and typing proficiency as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to: Program development Assisting with data collection Analysis of trends Implementation of best practices Serving as a point of contact for patients and customers Utilizing a variety of software programs Data entry Maintaining files and record keeping systems. Typing Proficiency Requirement: In addition to meeting the required specialized experience, applicants for this position must show possession of the following typing proficiency. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Proficiency skills of self-certified applicants may be verified by administering the appropriate performance test. For this position, applicants must be able to type 40 words per minute. Words per minute are based on a 5 minute sample with three or fewer errors. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
