TheExecutive Assistantprovides support to the Executive Leadership Team and Board of Trustees, while directly reporting to the President/CEO. This role performs advanced, diversified, and confidential administrative duties which requires broad and comprehensive experience in addition to skill and knowledge of organization policies and practices. The Executive Assistant independently assigns, oversees, coordinates, and evaluates work in a complex, fast paced environment.
Schedule:
This is a full-time position based in White River Junction, VT. Regularly scheduled hours for this position are 8:00 am – 4:30 pm with occasional evening availability required for the attendance of board meetings. An optional hybrid schedule is available after the successful completion of the introductory period.
The Executive Assistant:
Completes a broad variety of administrative tasks for the CEO:
Completes critical deliverables with hands-on approach that facilitates the CEO’s ability to effectively lead the agency.
Composes and prepares correspondence, arrange complex and detailed agendas, prepare presentation materials.
Manages calendars, coordinating meetings with internal and external constituencies.
Asserts good judgement and develops relationships crucial to the success of the agency.
Works independently on a variety of special projects while maintaining a realistic balance among multiple priorities.
Demonstrates effective communication and leadership skills to maintain credibility, trust, and support with senior leadership staff.
Communicates directly on behalf of the CEO, with board members, donors and other constituencies.
Handles patient calls and correspondence as directed by the CEO.
Researches, prioritizes, and follows up on issues and concerns addressed to the CEO, help determine appropriate course of action, referral, or response.
Board support and liaison:
Schedules and plans Board and Board subcommittee meetings.
Accurately prepares and submits for approval corporate Board meeting minutes.
Maintains online Board of Trustees internet portal.
Office administration:
Ensures compliance with external filing and licensure requirements by establishing a tracking system and submitting filings in accordance with required timelines.
Standardizes office procedures and initiates policy and procedure changes.
Analyzes work flow to assure maximum utilization, continuously explore opportunities for improving the work.
Monitors deadlines and commitments to ensure they are met in an accurate and timely manner.
Minimum Qualifications:
Associate's degree with 5 years of relevant experienceorthe equivalent in education and experience required.
Strong proficiency with MS Office Applications (Outlook, Word, Excel, PowerPoint).
Able to think critically and tackle complicated issues by evaluating, questioning, and interpreting information to make well-informed judgments and decisions.
Must be very well organized, have strong time management, and demonstrate close attention to detail.
