Job Description Summary
The Assistant Convention Services Manager is responsible for assisting in the planning, coordination, and execution of conferences, meetings, and events at the hotel. This role works closely with the Conference Services Manager/ & Director of Catering and other departments to ensure smooth operations, excellent customer service, and a seamless event experience for clients. The Assistant Convention Services Manager will be involved in managing client expectations, coordinating logistics, detailing banquet event orders and helping to deliver memorable experiences for conference attendees.
Job Description
Key Responsibilities:
Client Interaction & Communication:
- Serve as a point of contact for clients regarding their conference and event needs.
- Assist in meeting with clients to understand event requirements, budgets, timelines, and objectives.
- Communicate event details clearly to clients and internal teams.
Event Planning & Coordination:
- Assist in the planning and execution of conferences, meetings, and other group events.
- Coordinate room layouts, audiovisual needs, catering, signage, detailing banquet event orders and other logistical requirements.
- Work with the hotel's sales and operations teams to ensure all event needs are met.
On-Site Event Management:
- Support the coordination of events on the day-of, ensuring all details are executed as planned.
- Oversee the setup, breakdown, and transitions between event sessions.
- Ensure guests' and clients' needs are met throughout the duration of the event.
Vendor & Supplier Management:
- Liaise with external vendors, suppliers, and service providers to ensure the successful delivery of conference services.
- Assist in negotiating contracts and pricing with third-party vendors, within set budget parameters.
Administrative Support:
- Maintain event schedules, timelines, and checklists.
- Assist with invoicing, billing, and budget tracking for conferences and meetings.
- Ensure all client correspondence and event documentation are organized and up-to-date.
Customer Service:
- Provide excellent customer service to clients, ensuring their expectations are met.
- Handle any issues or concerns during the planning process or event day and escalate when necessary.
Team Collaboration:
- Work closely with the hotel's sales, catering, operations, and technical teams to ensure successful event execution.
- Collaborate with senior event managers to improve service offerings and operational efficiency.

Pay Range
$22.00 - $24.00 per hour - Base range pay offered may vary depending on various factors including but not limited to job related knowledge, skills, and job specific/overall experience.
