About the role
Reporting to Head of Process Engineering, Asia
Your responsibilities
Liaise with area owners on any changes to the equipment and instrument records in computer system validation (CSV LeanlX) and upload updated information on a regular basis, or when there is a change.
Facilitate with procurement, track and maintain service agreements and contracts of the technical center's supplies and services according to company policies and procedures.
Maintain clear and consistent filing systems, electronic and/or paper, as required of the type of documentation.
Facilitate provision of information and documentation within her control during audits.
Facilitate capex project owners to complete the CAPEX documentation requirements according to company policies and procedures.
End to end document management and controls aligned with finance requirement, from supplier set up in the system, contract uploading and routing for approvals, capex OAS approval system. Coordinate with Finance to handle asset tracking (asset no. tags identification) and CAPEX - book value and depreciation cost system, finance asset tracking and listing, any asset impairment or disposal and regular audits with finance.
Create purchasing request and order (PR/PO) in the SAP system. Follow up invoices with users and suppliers, coordinate with Finance to complete transaction. Set accrual for payment as required.
Handle capex budget templates for monthly reviews, as may be needed. Provide expense projections and track spending against budget and timing.
Document controller (upload for approval, track, retire) for procedural documents for operations in SG and Thailand pilot plants and PD laboratories.
Initiate periodic review of procedural documents by checking document owners, validity and duration. Ensure there is proper handover of procedure document ownership for any staff movements in the organization.
Form and keep track of representatives/membership periodically across R&D departments.
Manage and track trainings and validity of license of safety and first aider/fire warden members.
Keeps track and report attendance of GMP monthly meetings.
Upkeep announcements and postings within the office of the above.
R&D Staff on-boarding and off-boarding.
R&D People Training Record Management.
Library Management - Maintain and upkeep inventory of R&D library.
Track expenses and reconcile any discrepancies of actuals on a regular basis.
Manage end-to-end purchase management of supplies and services for R&D technical center's offices, pantry, pilot plant, interactive science gallery, facility including outsourced manpower services, repairs and maintenance, calibrations
R&D liaison and communications officer of R&D on Tuas site activities.
Source and conduct negotiation on venues and teambuilding vendors for department meeting events (Process Engineering, pilot plant, R&D Operations), lead the corresponding contract administration, purchase orders, event safety risk assessment.
Maintain the upkeep of interactive science gallery, offices, pantries, meeting rooms, office equipment, and any accessories used in these areas.
Coordinate with Engineering department, relevant function, and suppliers for any repair and maintenance of these areas.
Execute meeting arrangement for international visitors of R&D in Singapore R&D technology center.
Liaise with Singapore HR for any separate coach arrangement for R&D Tuas-based staff beyond the regular employee coach.
Handle any group trip and hotel booking as may be required, for purpose of controls of the staff traveling together.
The experience we're looking for
Diploma in Accounting, Finance, Bookkeeping, administration or relevantfield.
Minimum 5 years experience in accounting, finance, communications, knowledge and informationmanagement.
Knowledge of SAP is anadvantage.
Knowledge in MSExcel, Outlook is a must, other MS Office is anadvantage.
