Cedars-Sinai Project Manager (Hybrid) in West Hollywood, California

Job Description

The Project Manager is responsible for managing assigned projects from initiation to delivery, including project definition, assignment of responsibilities, organizing project teams, setting deadlines, and monitoring expenses. This position manages all or most phases of the project and resources, utilizing industry standard project management tools and techniques. Ensures that all phases of the project are completed per project timeline and budget. In collaboration with key stakeholders this role identifies and resolves obstacles to completing projects on time and within budget.

Note: a project has a defined scope, defined start and end, and typically impacts more than one department, function, or group.

Cedars-Sinai Cancer Department

The Project Manager works under the joint direction of the Cedars-Sinai Cancer (CSC) Research Manager(s), Associate Director, and/or Executive Director of Research Administration to manage projects that deliver high-quality information for a wide range of external and internal reports, planning and evaluation activities, grant applications, and other research and programmatic activities to the CSC Director, senior leaders, program leaders, and other key stakeholders. The Project Manager works with CSC staff and other stakeholders to collect, organize, and report on CSC metrics and activities, including but not limited to CSC members’ grants, publications, clinical trials, trainees, program outcomes, and pilot awards. The Project Manager supports the CSC Director, senior leaders, program leaders, research administration and other key stakeholders on monitoring and managing CSC standard operating procedures (SOPs), guidelines, and policies. The Project Manager ensures compliance with NCI guidelines and other federally regulated reporting requirements.

Primary Duties and Responsibilities

  • Works with all key stakeholders to manage the deployment and completion of all aspects and stages of the project

  • assigned. Organizes project teams, assigns responsibilities, develops project schedules, and settles resource requirements. Ensures requirements are managed and delivered per project timeline, and identifies and mitigates

  • potential risks for implementation. Partners with leadership to assess, track and resolve risks.

  • Develops and documents plans that ensure all necessary preparation, execution tasks and dependencies are identified and included. Ensures that necessary resources and skills are allocated for project success. Assesses needs, evaluates solutions, makes recommendations, and escalates to senior leaders/key stakeholders, if needed.

  • Responsible for the oversight of functional project team, including partnering closely with subject matter experts to help gather, assess and track project deliverables. Hold project teams accountable for project deliverables, resolves issues and conflicts, and escalates resource or budget issues.

  • Provides cross-functional solution direction and guidance, including aiding in resolving any conflicting project decisions. Discusses business case scenarios, presents to senior management and guides team(s) on implementing the best solution through consensus building.

  • Operates as a full cross-functional leader/member of the project team by supporting project leadership and other team members with resolving obstacles, ensuring collaboration between teams, and providing project updates and communication.

  • Creates and/or reviews project communications and updates with all stakeholders, in partnership with project leadership. Ensures an effective change management strategy is developed and implemented.

  • May be responsible for managing budget, costing, timing and other resources including vendor management, staffing and/or deliverables to ensure utilization within the project guidelines.

  • Responsible for implementing later phase solutions, if applicable.

Department-Specific Duties

  • Works with the Research Manager, Associate Director, and/or Executive Director to ensure timely execution of CSC Research Administration’s programmatic initiatives and activities utilizing project management techniques to monitor action items and their timely completion

  • Develops, maintains, and tracks policies, procedures, practices, and quality manuals for CSC Research Administration

  • Works with CSC Finance to develop, monitor, and report CCSG budget and expenses, including operations and capital equipment budgets and expenses

  • Coordinates with Marketing and Communications to provide oversight of administrative and project management support for developing and updating marketing materials, communications, and websites

  • Works with Research manager, Associate Director, and/or Executive Director as well as CSC Senior Leadership and Program Leaders to develop and employ surveys to obtain member feedback and satisfaction

  • May develop training programs and tools to develop Cancer Center Support Grant (CCSG) knowledge and awareness for leadership, members, and staff

  • Maintains currency with relevant technology, standards and best practices. Identifies and implements innovations to streamline, automate or improve existing project management processes.

  • Facilitates task management and tracking both during and outside of meetings. Manages expectations, sets appropriate deadlines and ensures the timely completion of work.

  • Performs other duties as assigned or required by management.

  • Works with CSC Research Administration to create and maintain key metrics required for institutional monitoring and organizational reporting practices. This include, but are not limited to: CSC members’ grants, publications, clinical trials, trainees, program outcomes, and pilot awards.

Qualifications

Requirements:

  • High School Diploma/GED

  • 5 years Program or Project Management, Project support and/or leadership experience

  • Proven troubleshooting skills; meticulous with strong attention to detail

  • Strong interpersonal skills; able to deal effectively with diverse skill sets and personalities; works effectively as a team player

  • Creative and organized with a proven ability to prioritize workload, meet deadlines, and utilize time effectively

Preferred:

  • Bachelor's Degree Health care, Business Administration, or a related field

  • Master's Degree Health care, Business Administration, or a related field
