We are seeking a highly motivated Facilities and Fleet Manager - Coxsackie, NYThe Facilities and Fleet Manager plans, directs, evaluates, oversees, organizes, supports, supervises, and coordinates the activities and operations of the facilities and fleet department. Responsible for buildings, grounds, equipment, conveyor, powered Industrial truck fleet, delivery transport, and support vehicles. Provides high level management responsibility and administrative support. Verification of spending and on track budget execution paramount.ESSENTIAL POSITION RESULTS• Manages the daily operations of the facilities maintenance department in all EMN buildings and properties.• Manages the EMN owned and leased vehicle fleet relative to Preventative Maintenance (PM), maintenance, repairs, inspections, registrations, valid insurance certification ensuring all owned vehicles comply with all NYS V&T Law requirements as well as all vehicle related State and Federal DOT requirements.• Manages the EMN leased vehicle fleet relative to ensuring communication with lease provider is clear and concise and that all issues are addressed with the lease provider on a timely basis.• Ensures all monthly vehicle reports on owned and leased vehicles are collected and reviewed. Pending service needs are addressed and evaluated before crisis situations arise. Reviews monthly fuel expense reports on all owned fleet vehicles.• Ensures all monthly mileage on all owned and leased vehicles is collected and reported to lease provider and internal EMN staff at the proper time of the month.• Manages any issues aside from daily happenings with DC managers relative to the lease fleet providers. Communicates issues via E-mail keeping Operations Director informed.• Provides assistance in fleet and facilities acquisition, utilization, repair and replacement of equipment and vehicles.• Plans, directs, coordinates, and reviews work plans for staff. Assigns work activities, projects, and programs. Meets with staff regularly to identify and resolve problems.• Recommends department policy and staffing levels to the Director of Operations and HR as needed.• Selects, trains, motivates, and evaluates department personnel. Provides for department staff safety training and training of other department personnel as needed. Works with Associates to correct department deficiencies and addresses other department deficiencies when discovered.• Oversees and participates in the development and administration of the department annual budget. • Oversees the plans, specifications, and cost estimates for assigned projects. Selects contractors, vendors, and consultants. May negotiate contracts to final version with presentation to Director of Operations and CFO for review and approval.• Provides technical review for all projects by review of plans and specs, maintenance manuals, and other means to ensure work is performed in a safe, proper, and compliant fashion.• Maintains contracts relative to custodial, HVAC, Alarms (if required), plumbing, electric, landscape, snow, fire suppression systems, inspections, elevators, etc. while ensuring inspections are done on schedule and as required meeting the contract requirements.• Prepare and present long range 3-, 5-, and 10-year plans for the department relative to projects and replacement schedules for equipment and vehicles.• Serves as the liaison to other departments and is the “communication conduit” from and to other departments and vendors on relative issues that may impact business. Works closely with other department managers to resolve fleet, facility, and equipment maintenance issues.• Maintains awareness of new trends and innovations in fleet, facilities, and equipment.• Maintains inventory and control of tools, materials, supplies, and equipment. Providing updated quarterly listings of all large equipment and vehicles with needed information such as year, make, model, hours/miles, etc. Format should be built and utilized in co-operation with the finance department and the fixed asset list when applicable.• Maintains an accurate spare parts list to ensure back up parts are on site to support the conveyors system and ensure conveyor functionality at all times.• Conducts quality control and safety inspections of the department as well as other requested department reviews, ensuring the adherence to safe work policies and procedures.• Must be able and willing during extreme situations to engage in “hands on” work to accomplish the task at hand resulting in successful resolution of the situation.• Assure timely, quality emergency service as needed and when needed relative to any serious facility or fleet issue that may encumber ability to ship goods or may be safety and or life sensitive.• Maintains a safe and clean working environment by complying with procedures, rules, and regulations.​SUPERVISORY RESPONSIBILITIESThe Facilities and Fleet Managers responsibility is to manage the maintenance department with workers in both the Coxsackie and Lyons distribution centers (union and non-union staff) as outlined in the essential position results above. High school diploma required. Experience in facilities, maintenance, and fleet transportation required. NYS CDL Class A license in good standing is a plus. EXPERIENCE: Minimally, three years management and/or administrative experience in facilities and or fleet management or related fields required. Any combination of education or experience would likely provide the required knowledge and ability necessary for satisfactory job performance. KNOWLEDGE/SKILLS: • Operations, services, and activities of a comprehensive facilities and fleet maintenance program• Proper methods and techniques of facility and fleet maintenance• Experience in general building and grounds maintenance as well as fleet.• Proper methods, practices, material, tool, and equipment use common to work needs.• Principles and practices of program development, project planning, and prioritizing• Facilities experience and understanding in energy conservation and best practices.• Understand and comply with federal state and local laws, codes, and regulations.• Follows and requires staff to adhere to all OSHA and safety requirements.• Ability to navigate all standard computer software like word, excel, office.• Principles and practices of budget preparation and administration.• Principles and practices of supervision, training, and performance evaluation.• Develop, manage, and expand on implementation of comprehensive facilities and fleet program.TRAVEL REQUIREMENTS• Occasional travel to Lyons, Syracuse, Buffalo required. Typically, day trips with an occasional overnight required. Less than 10% travel expected.
