Smithsonian Institution Management Support Assistant in Washington, District Of Columbia
Summary The Smithsonian Institution (SI) is the world’s largest museum, education, and research complex, with 21 museums and the National Zoo. This position is in the Smithsonian Libraries and Archives (SLA). The Smithsonian Libraries and Archives gathers, organizes, and disseminates the records and history of the Institution to support its research, curatorial, exhibition, publication, public service, and education programs. Responsibilities The Management Support Assistant is responsible for supporting the overall administrative functions within SLA’s Office of Administration and Finance. In this position, you will: Greet, research and other guests. Answers phones and arranges for desk coverage when absent. Maintains calendar(s) for conference rooms, travel and meetings. Coordinates meetings and presentations. Assists with meeting facilitation. Receives, open, distributes and responds to mail and e-mail. Track data and provides information using Excel. Updates forms and templates. Monitor outstanding expense requests and follows transactions up to completion. Resolves discrepancies. Make travel arrangements to include hotels, air and rail fare car rental and meals and incidentals (M&IE). Qualifications GS-07 Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-06 level in the Federal Service. For this position, specialized experience is defined as performing a variety of duties to include clerical and programmatic support, procurement support, financial reconciliations, personnel support, travel support and record keeping. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week. Education Additional Information This position is included in the bargaining unit.
