The Invoice Coordinator is solely responsible for invoicing the sponsor for all commercial clinical trials being conducted in Lombardi Cancer Center via GUMC/MGUH. This position reviews contracts, payment terms, budgets and coverage analysis (if needed) in order to verify the financial feasibility of the invoice. S/he must also verify clinical activity with study teams and Lombardi management daily. They are responsible for verifying three applications in order to perform job functions in GMS, GUPass, and OnCore applications. Additional duties include, but are not limited to:

  • Analyze payment terms and external budget in all new CTA's Performance of startup invoicing in GMS as well as to the Sponsor based on CTA payment terms/external budget information.

  • Ensure all Commercial Sponsors have W-9 and banking information.

  • Create, submit, and track GMS Customer Invoices and Sponsor invoices based on OnCore activity, utilizing patient/visit accrual information, external budget and CTA payment terms.

  • Reconcile invoices based on analysis of sponsor payments received and clinical activity verified.

  • Discern between pass-through activity known as invoiceables in OnCore and milestone payments.

  • Perform periodic and end-of-study audits to ensure all sponsor funds have been collected and all internal funds transfers (except study staff salary) have been completed.

  • Work closely with Listbill manager in order to match payments received to studies and invoices created on a weekly basis.

  • Maintain internal spreadsheets for each study in order to track what is pending or paid or in process by study or activity.

  • Use the PNC banking application to ensure ACH tracking of payments and any other financial duties.

Work Interactions

The invoice coordinator has to interact with CROO and Office of Sponsored Research (OSR) staff to verify CTA contract budget and payment terms information, cross reference their work in GMS, request extensions of GRs if necessary. . Requires good communication with a wide variety of study sponsors and CRO's (contract research organizations) to track payment statuses, obtain payment histories, research payments which were incorrectly sent by sponsor. Requires constant interactions with medical center-wide study teams to obtain data necessary to create sponsor invoices.

Requirements and Qualifications

  • Bachelor's Degree

  • Two years of financial experience preferred in accounting, hospital billing, Industry pharma finance

  • Proficient in computer skills

  • Strong organizational skills

  • Demonstrate problem solving skills

  • Must be able to communicate with study teams on errors, verifications, and enrollments numbers

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$41,926.00 - $65,090.00

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
