JCTM LLC Executive Assistant in Washington, District Of Columbia

Challenging Projects

As an Executive Assistant on our team, you will manage daily administrative operations and support executive schedules, travel coordination, and meeting logistics. You will ensure proper records management and document preparation. Additionally, you will act as a liaison between executive leadership and internal/external stakeholders. You will also provide critical security and operational support in compliance with government policies.

Key Responsibilities

  • Administrative Support & Records Management:

  • Maintain compliance with Defense Travel System (DTS), Records Management, Navy Correspondence Manual (SECNAV M-5216.5 CH-1), and SSP Mail and Records Tracking System (SMARTS).

  • Manage documentation, filing systems, and recordkeeping per Navy directives.

  • Process and track correspondence, reports, and official forms.

  • Meeting & Event Coordination:

  • Schedule high-level meetings, briefings, and video teleconferences (VTC).

  • Prepare agendas, meeting minutes, and follow-up action items.

  • Organize large-scale events, ensuring seamless execution.

  • Calendar & Appointment Management:

  • Oversee executive schedules, prioritize engagements, and handle conflicts.

  • Manage rescheduling and track important deadlines.

  • Task & Workflow Management:

  • Monitor and track priority assignments to ensure deliverables are met.

  • Maintain workflow efficiency in support of executive functions.

  • Communication & Correspondence:

  • Draft, edit, and format official Navy and DoD documents.

  • Prepare briefings, reports, and executive correspondence.

  • Respond to internal and external inquiries on behalf of executive leadership.

  • Security & Compliance:

  • Process visit requests and escort non-cleared personnel (if holding a Final Secret Clearance).

  • Ensure adherence to SSP Security Manual (SSPINST 5510.16 series) and cybersecurity protocols.

State-of-the-Art Technology

You will work with Microsoft Office Suite, Defense Travel System (DTS), Navy correspondence tracking tools (SMARTS, SEAS), and secure DoD communication systems to streamline administrative operations.

Multiple Locations

SSP Headquarters (SPHQ) - Washington Navy Yard D.C., SPP - Naval Ordnance Test Unit (NOTU), and SPF(C) - PMOSSP Flight Systems Detachment, Cape Canaveral, FL

You Have

  • Branch Head Level:

  • Associate’s Degree (Bachelor’s preferred).

  • 4+ years of experience supporting SES or executive personnel.

  • SES Level:

  • Associate’s Degree (Bachelor’s preferred).

  • 6+ years of experience supporting SES or executive personnel.

  • Both Levels Require:

  • Active Secret Security Clearance (or ability to obtain one).

  • Strong skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).

  • Experience with Defense Travel System (DTS) and Navy Correspondence Manual.

  • Ability to work under strict deadlines with independent judgment and initiative.

Nice to Haves

  • Knowledge of Navy and DoD policies, records management, and government correspondence.

  • Experience with ECQ writing, high-level meeting coordination, or federal event planning.

  • Prior work with Strategic Systems Programs (SSP) or similar DoD agencies.

Clearance

Applicants selected will be subject to a security investigation and must meet eligibility requirements for access to classified information. A Secret Clearance is required.
