The Executive Assistant to the Vice President, Office of Advancement at Georgetown University (EA) reports to the Chief of Staff for the Office of Advancement (COS) and assists the Chief of Staff in managing the day-to-day functions of the Office of the Vice President, which include managing the schedule, overseeing inbound communications, executing special projects, and ensuring materials are prepared in advance of meetings. The EA is also responsible for the logistics support and execution of Office of Advancement initiatives including, but not limited to, the Office of Advancement huddles, community-building events, and strategy task forces. The EA is often the first point of contact for internal and external stakeholders working with the Vice President of Advancement (VP). The EA coordinates, tracks and manages to completion work and processes that involve the VP and his office, many of which are confidential in nature and involve senior members of the University community, both internal and external. The EA, in concert with and at the direction of the COS, facilitates and accelerates the work of the VP, interacts with senior leadership of the University, and builds and strengthens ties with other departments within the University. The EA reviews incoming correspondence and determines the course of action in response to inbound requests. This work often requires coordination of complex schedules, ensuring that the VP’s priorities are appropriately reflected, and requires working knowledge of the substance of the Vice President’s meetings. Responsibilities include, but are not limited to:

  • Manage the VP’s and COS’s schedule, overseeing inbound communications, executing special projects, and ensuring materials are prepared in advance of meetings.

  • Provide logistical support and execution of VP office meetings, leadership meetings, office-wide meetings and retreats, as well as annual business planning and reporting.

  • Oversee the VP’s deployment including scheduling, travel logistics, itineraries, and briefings.

  • Engage in internal strategic discussions related to Advancement and campaign priorities, and highly sensitive philanthropic, organizational, or personnel matters.

  • Handle all contracting, expenses, and payment processes for the VP’s office in conjunction with external vendors and the main campus contracts office, maintaining financial records for the VP’s office.

  • Schedule the VP, manage certain VP correspondence, and collaborate with senior leadership, faculty, students, and key university constituents.

  • Support and track the implementation of strategy, communicating the progress of key initiatives.

  • Perform research and writing tasks, generating and/or editing internal and external documents.

  • Serve as a primary knowledge source for answering questions from Advancement staff about a variety of topics.

Work Interactions

The Executive Assistant will be a trusted resource in the Office Of Advancement on matters related to the VP’s Office and Advancement overall. They will collaborate with senior leaders, managers, and employees throughout the Office of Advancement and the University. The Executive Assistant to the Vice President interacts with multiple stakeholders, including but not limited to: OA managers and employees OA leadership, Office of the President, Office of the Provost, University Counsel’s Office, University Deans and their offices, Financial Affairs, and the Office of the COO and CFO.

Requirements and Qualifications

  • Bachelor’s degree or at least five years of relevant work experience

  • Minimum 2 years of related professional experience

  • Demonstrated relationship-building skills (both internally and externally)

  • Organized with strong attention to detail and demonstrated verbal and written communication skills

  • Mission-driven and service-oriented with the ability to work in a fast-paced, high-volume, and ambiguous environment

  • Ability to organize and prioritize time in the face of competing priorities

  • Proven professional composure, discretion, judgment, and ability to judiciously manage sensitive and confidential information carefully.

  • Strong facilitation/presentation skills

  • Proven experience working independently and collaboratively with a team

  • Demonstrated project management experience

  • Proficient in MS Office, Google Suite

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$47,586.00 - $87,558.13

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
