The Associate Director of Events is responsible for creating an annual events plan and calendar, and then planning and executing all events for prospective, current, and graduating students, alumni, and other SCS audiences. They are responsible for establishing and managing protocols, procedures, budgets, and timelines around events and space usage at SCS. Whether events are in person, hybrid, or virtual, the Associate Director of Events is a key lead in managing the Georgetown SCS physical and virtual brand experience to build and support a cohesive image of the School and University.

A key member of the Office of the Dean, additional responsibilities include but are not limited to:

Event Planning Design and Oversight

  • Develop and maintain an annual events plan (internal and external) and events calendar for SCS.

  • Work with the Dean’s Office, Academic Affairs, Marketing, Enrollment Management, Operations, and academic programs to plan and manage events and conferences.

  • Meet proactively with academic programs and work in partnership with the SCS Degree Programs Events Task Force to plan for events and ensure that events are in support of school and departmental strategic plans and goals.

  • Lead planning and execution of key annual SCS events, including Commencement, Tropaia Awards Ceremony, holiday events, and new student & faculty events.

  • Ensure a cohesive Georgetown SCS brand experience regardless of the event’s modality (in person, remote, or hybrid).

  • In partnership with the SCS Communications and Marketing teams, organize appropriate coverage of events including videography/photography, AV, social media, and press coverage of events.

  • Manage event assets including photography and online seminar recordings, as well as inventory of event materials, equipment, and signage.

Protocol Creation and Management

  • In partnership with SCS academic programs, lead the planning for how events budgets will be allocated each year, ensuring the Academic Program and/or the Event Coordinator have accounted for and reconciled.

  • Oversee the budgeting and reconciliation for all SCS school-wide events, serving as the primary partner with the SCS finance team in ensuring all event expenditures remain within the allocated SCS budget.

  • Ensure SCS is regularly exploring and reviewing vendor options, with the goal being the highest level of service/quality for a price that works within the budget allocation available.

  • Establish protocols and procedures that ensure consistent and polished events at the school and departmental level.

  • Ensure protocols and processes are easily available and that recurring trainings are offered to SCS staff/faculty.

  • Work closely with the Associate Dean of Operations to manage the experience of visitors, VIPs, prospective students, current students, and alumni by ensuring that the physical environment provides a positive and information-rich experience.

Event Communications

  • Lead the planning for communications related to all SCS-hosted events

  • In partnership with the SCS Communications team, utilize the SCS marketing automations/CRM system to manage the implementation of all communications plans necessary for events.

  • Ensure all events and activities are appropriately distributed and highlighted through the SCS website, email, and social media.

Alumni Engagement & Outreach

  • In collaboration with the Senior Director of Communications & Events, build a strategic plan to engage with SCS alumni.

  • Develop and support survey-related initiatives targeting SCS alumni.

  • Lead the planning, promotion, and execution of SCS alumni events, most notably John Carroll Weekend.

Requirements and Qualifications

  • A Bachelor’s degree, ideally in a hospitality or business-focused subject

  • 8 years of event management experience with demonstrated ability to work effectively in a fast-paced environment

  • Strong interpersonal skills, collaborative nature, sound judgment, detail orientation, and capacity to work in a fast-paced environment

  • Strong writing ability with experience in using systems to manage events and student registrations

  • Proficient in the Microsoft Office suite, particularly Excel with the ability to learn all the SCS CRM systems necessary to create/communicate events and manage RSVPs

  • Willingness and availability to work evening and early morning events, along with occasional weekends. Must have ability to stand/walk for extended periods of time and must be able to lift and move up to 20 pounds

  • Familiarity in a higher education environment and ability to use graphics software desirable

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$54,616.00 - $100,493.33

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
