Responsibilities
• Responsible for supporting the Eastman office in DC and the Circular Economy Advocacy team (approximately 8 - 10 people) with administrative and project work. • General administrative duties include invoicing, managing calendars, scheduling meetings, ordering office supplies, etc. • Coordinating and providing support to events in the Washington DC office. Arranging, organizing, managing, and maintaining schedules for meetings, complex travel arrangements (domestic and international), legislative visits, and small group events • Preparing agendas, meeting minutes, action items, and related projects; preparation includes meeting notices, conference call arrangement, video conference setup and day of meeting setup and attendance to document key issues and items of relevance • Serving as a key point of contact for Circular Economy Advocacy team both internally and externally • Process invoices for payment; serving as point of contact for vendors and service providers; providing monthly budget summary for Director of Government Affairs; maintaining timekeeping for Government Affairs team
• Structuring and maintaining team Microsoft Teams and SharePoint sites and organizing information; serving as a resource for members of the Government Affairs team
• Collaborating closely with Administrative Assistants across Eastman to provide information, reports, or responses to corporate information requests; ability to work collaboratively across a large organization and across geographies (domestically and internationally) is a must • Managing internal and external communications as needed • Facilitate activities with building maintenance and security
Qualifications
• Minimum high school graduate; college degree in communications or related field (public relations, journalism, marketing communications) is preferred
• Minimum 5+ years of relevant work experience; experience with executive support is a plus • Demonstrated proficiency in Microsoft Office applications - Outlook, Word, Excel, PowerPoint, and Teams • Graphics design skills are a plus • Adobe Suite expertise is a plus • SAP skills are a plus • Digital media analytics skills a plus
