The Administrative Assistant will be responsible for several executive and management duties in support of the U.S. Agency for International Development (USAID), Bureau for Management, and Office of Management Services (M/MS). This position will provide support to both the Headquarters Management Division (M/MS/HMD) and the Overseas Management Division (M/MS/OMD).

Responsibilities

  • Compile and/or prepare briefing materials, ensuring all relevant information is available for projects, events and activities, conferences, travel, etc.

  • Use formal procedures to track memos, briefers, and taskers and coordinate other work performed in the office.

  • In concert with the Division Chiefs, control and maintain the office calendars (e.g., leave, training, etc.)

  • Coordinate with offices across the bureau on documentation and meetings

  • Assist with new and ongoing administrative requirements and deliverables

  • Provide a variety of administrative support and correspondence complying with USAID requirements

  • Maintain administrative files, program documents, correspondence, and reports.

  • Prepare files for storage or destruction, as appropriate.

  • Maintain the administrative Standard Operating Procedures (SOPs) for the divisions, create uniformity and synchrony in administrative workflow throughout the divisions

  • Maintain the staff directory, emergency contacts, and organizational charts and implement procedures that ensure the information is accurate and up-to-date at all times.

  • Identify and request logistics and resource needs required to maintain office functionality.

  • Arrange meeting space, speakers, and support details for meetings/conferences.

  • Provide quality control on written products, helping ensure clarity, consistency, and succinctness.

  • Attend meetings, take notes, note commitments made, inform staff of commitments, and arrange for staff to follow through on implementation.

  • Assist with business process review and mapping.

  • Comprehend and optimize the Service Now system to create workflow efficiencies.

  • Run reports and graphically present data trends, including ticket completion and customer service.

  • Organize schedules to ensure a timely ticketing process and assist with the implementation of a telephone help desk.

  • Analyze and visualize data trends.

  • Review productivity problem areas and oversee the implementation of solutions that will eliminate them.

  • Support change management processes and organizational development activities to promote long-lasting transformational change.

  • Analyze customer service feedback and implement solutions to issues.

  • Design plans to expand the use of Service Now for other M/MS functional areas, including travel and transportation.

  • Develop a communication plan for the M/MS/HMD Help Desk.

  • Integrate disparate authorities, responsibilities, and stakeholders to achieve collaboration and unified action.

  • Establish project-specific standards and templates.

  • Create tickets, and staff Service Now telephone numbers as needed, and ensure that the team is coordinating well, working to identify and resolve problems.

  • Other duties as assigned.

Qualifications

  • High School Diploma or GED required

  • Associate degree preferred

  • 5+ years of relevant experience that can be a combination of:

  • An intern, support contractor, government staff, or industry staff

  • Experience working with IT ticketing tool management systems such as Service Now

  • Experience with customer-service software systems

  • Experience in project management

  • Background Check required

Knowledge, Skills, and Abilities:

  • Excellent communication skills, both written and oral. Able to produce documents that receive minimal edits.

  • Superior computer skills and experience with Google Workspace (Google Docs, Google Slides, Google Chat, etc.); and experience with Vizio, Tableau, and data visualization software.

  • The ability to effectively complete tasks independently and in a timely manner. Demonstrates incremental progress and does not repeatedly make the same types of errors.

  • Ability to gather and analyze data effectively

  • Ability to apply critical thinking to a wide variety of problems

  • Ability to comprehend and analyze complex problems

  • Ability to work in a collegial, team environment

  • Ability to work with difficult people

  • Awareness of project design capabilities, including project management, organizational design, and mission support optimization, process improvement, performance management, strategy development and transformation, change management, and IT strategy and business architecture.

  • In-office requirement is 3 days per week at the USAID Annex
