Job Summary:

The selected candidate will be responsible overseeing a variety of facility management and office services functions which include management of daily office operations and services, vendor contracts, space management, visitor management, conference room setups, food service management, landlord coordination of building related issues, ensuring adherence to office safety and security requirements, and other services related to managing daily office/facility operations. In this role, you will lead office and administrative personnel to provide a variety of office services, including but not limited to project administration, technical publications, building operations and services, and facilities planning. You will set goals, develop work plans, and investigate and analyze new technologies. Your recommendations will improve work processes for the team. #LI-KL1

Major Responsibilities:

  • Plans, directs, coordinates, and controls the functions noted above through office services staff, suppliers, and subcontractors.

  • Responsible for ensuring adherence to instructions, and procedures related to facility operations, space management, internal cost allocations, etc.

  • Oversees multiple complex office services functions with minimal guidance and exercises discretion and independent judgement in performance and prioritization of assigned duties.

  • Coordinates invoicing and payment of costs for facility related goods and services.

  • Coordinates the payment of rent and property management services.

  • Assists with budgeting and control of overhead costs, capital expenditures, and operating centers.

  • Assists with executing service contracts for the facility.

  • Manage all aspects of conference rooms including a conference center.

  • Responsible for security and emergency preparedness documentation and planning for the office.

  • Coordinate and interface with the landlord and building engineers.

  • Responsible for performance management of direct reports including salary planning and administration, replacement planning, career counseling, and performance evaluations.

Education and Experience Requirements:

Level 1

Requires bachelor's degree (or international equivalent) and 5-8 years of relevant experience or 9 -12 years of relevant work experience.

Level 2

Requires bachelor's degree (or international equivalent) and 8 -10 years of relevant experience or 12-14 years of relevant work experience.

Required Knowledge and Skills:

  • Demonstrated knowledge of industry standards, practices, and regulatory requirements related to facility management and office services.

  • Ability to interface effectively in managing and administering contracts with suppliers, contractors, and key industry partners related to facility operations and real estate portfolio management.

  • Strong organizational skills with the ability to work independently as needed without direct supervision.

  • Strong verbal and written communication skills with demonstrated ability to communicate effectively with all organizational levels.

  • Demonstrated experience in managing a corporate executive office.

  • Active accreditation as a Certified Facility Manager (CFM), certified BOMA Real Property Administrator, or equivalent.

  • Basic knowledge in CADD and space planning software.
