Join CBRE GWS as a Facilities Coordinator , where you'll manage facility tasks and reception duties to ensure smooth operations.
Responsibilities:
Engaging with clients, vendors, and contractors to implement facility procedures and address inquiries.
Collecting and filing work orders, proposals, and performance reports.
Monitoring building activities with cooperation with the Landlord (e.g. Building maintenance, waste disposal).
Greeting clients and visitors, ensuring security protocols are followed.
Scheduling and preparing meeting rooms, including setup and catering.
Handling clerical tasks, such as issuing badges and ordering supplies.
Managing incoming and outgoing mail and packages.
Maintaining cleanliness in the reception area and common spaces, coordinating housekeeping as needed.
Respond to client inquiries and concerns and ensure timely and quality service delivery and follow-up to ensure satisfaction.
Assist in ensuring compliance with Health & Safety requirements, including HSE reporting and promoting a safe work environment. Maintain QHSE documentation and ensure it is available using company systems.
Respond to inquiries on financial reports for Accounts Receivable, Payable, and open POs.
Review and approve billing invoices as per contracted agreements. Ensure consistent delivery of core operational and financial outputs on the account.
Schedule and manage maintenance activities
Maintain a Work Order system.
Requirements:
2+ years of job-related experience.
Fluent Polish (speaking and writing) and very good English (min. B2).
Ability to follow basic work routines and standards.
Proficiency in Microsoft Office (Word, Excel, Outlook, etc.).
Strong organizational and communication skills with an inquisitive mindset.
