Join CBRE GWS as a Facilities Coordinator , where you'll manage facility tasks and reception duties to ensure smooth operations.

Responsibilities:

  • Engaging with clients, vendors, and contractors to implement facility procedures and address inquiries.

  • Collecting and filing work orders, proposals, and performance reports.

  • Monitoring building activities with cooperation with the Landlord (e.g. Building maintenance, waste disposal).

  • Greeting clients and visitors, ensuring security protocols are followed.

  • Scheduling and preparing meeting rooms, including setup and catering.

  • Handling clerical tasks, such as issuing badges and ordering supplies.

  • Managing incoming and outgoing mail and packages.

  • Maintaining cleanliness in the reception area and common spaces, coordinating housekeeping as needed.

  • Respond to client inquiries and concerns and ensure timely and quality service delivery and follow-up to ensure satisfaction.

  • Assist in ensuring compliance with Health & Safety requirements, including HSE reporting and promoting a safe work environment. Maintain QHSE documentation and ensure it is available using company systems.

  • Respond to inquiries on financial reports for Accounts Receivable, Payable, and open POs.

  • Review and approve billing invoices as per contracted agreements. Ensure consistent delivery of core operational and financial outputs on the account.

  • Schedule and manage maintenance activities

  • Maintain a Work Order system.

Requirements:

  • 2+ years of job-related experience.

  • Fluent Polish (speaking and writing) and very good English (min. B2).

  • Ability to follow basic work routines and standards.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, etc.).

  • Strong organizational and communication skills with an inquisitive mindset.
