Customer Service Specialist for SAP ERP implementation - Warsaw, Poland

Location : Warsaw, Poland

Type : Temporary contract for 1 year

We are looking for a Customer Service Specialist to join and strengthen our Customer Service Team as soon as possible. In this role, you will play an integral part in managing customer orders, coordinating shipments, and supporting the implementation of SAP ERP in the Customer Service department.

Your Responsibilities:

  • Manage and coordinate all customer and distributor enquiries to ensure a smooth communication flow.

  • Manage the processing of orders , ensuring accuracy and promptness throughout the process.

  • Lead key elements of the shipping process , ensuring compliance with company policies and customer needs.

  • Support the implementation of SAP ERP in the Customer Service department, ensuring smooth transition of processes and data to the new system.

  • Ensure that internal systems, including SAP ERP , are maintained with accurate and up-to-date information to optimize order processing.

  • Track the delivery of shipments to distributors and/or direct customers after dispatch, regardless of terms.

  • Prepare and enter orders efficiently using tools and resources to ensure timely processing and delivery.

  • Prepare and file customer order reports as required, ensuring alignment with SAP ERP reporting functionalities.

  • Liaise with forwarding agents in preparing shipping documents and ensuring cost-effective dispatch.

  • Collaborate with internal stakeholders (e.g., Factory, Warehouse, Finance) to align on shipping details, release instructions, and ensure smooth operations.

  • Process invoices and raise purchase orders when required, ensuring accuracy and compliance with internal procedures.

  • Provide regular updates to customers regarding order and shipment statuses.

  • Manage and operate complaints , ensuring timely closure and preparing analyses. Assess and escalate complaints based on SAP ERP data and company standards.

  • Escalate serious complaints related to patient consequences to Regulatory Affairs for review and reporting.

  • Comply with OSH rules and Dentsply Sirona’s internal regulations .

  • Perform other tasks as assigned by your supervisor in line with your qualifications.

Your Profile:

  • Fluent in English .

  • Experience with Microsoft Office and ERP systems (Experience with SAP ERP or Microsoft Dynamics AX is highly advantageous).

  • Administrative experience with a proven record of data entry and managing customer interactions.

  • Experience in Customer Services within a supply chain environment is desirable.

  • Strong communication and interpersonal skills, with the ability to build relationships across functions.

  • Attention to detail and ability to manage tight deadlines while ensuring data accuracy.

  • Strong problem-solving , negotiation , and team-building skills .

  • Ability to handle confidential correspondence professionally.

  • Commercial awareness and the ability to make informed decisions based on business needs.
