Yorktel is currently seeking a Business Administrative Specialist who will play a crucial role in supporting the daily operations of our business. This position requires a highly organized, highly motivated and detail-oriented individual who can manage multiple tasks and projects simultaneously. This position requires the ability to make decisions quickly without additional guidance. The ideal candidate will have excellent communication skills and strong ability to work independently as well as part of a team. Duties and responsibilities:Administrative SupportProvide comprehensive administrative support to C-level executives, including scheduling meetings, management calendars, coordinating travel and handling correspondence.Data Management: Coordination with Human Resources to update company databases, ensuring accuracy and confidentiality of information. Own and manage full company travel process.Document Preparation: Prepaid and edit documents reports and presentations as needed. In coordination with legal counsel, preparing and obtaining signatures on board resolutions.Customer Service: Serve as point of contact for C-level executives addressing inquires and resolving issues promptly. Greeting all employees and guests as they enter and leave the office. Project Coordination: Assist in the planning and execution of company projects, ensuring deadlines are met and resources are allocated efficiently.Office Management: Oversee office supplies and working with the technology team to ensure the office environment is well-maintained and functional. Responsible for ordering of weekly meals, assisting in coordinating office holiday parties, annual sales & operational meetings, barbeques and company events. This position will also backfill for office logistics in shipping and receiving.Financial Support: Assist with basic financial tasks such as invoicing, expense tracking and budget monitoring. May be responsible for other duties as assigned. Skills and Abilities:Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Strong organizational and multitasking abilities.Excellent written and verbal communication skills.Attention to detail and problem-solving skills.Ability to work independently and as part of a team.Familiarity with office management procedures and basic accounting principles is a plus.Education and Experience:Bachelor’s degree in business administration, management or a related field. The company will also consider years of experience in lieu of a degree.
