Robert Half Administrative Assistant in Walker, Michigan

Description We are offering a contract to hire employment opportunity for an Administrative Assistant in the manufacturing industry, located in WALKER, Michigan. The successful candidate will be a key player in our team, performing a variety of tasks ranging from data entry to office administration and assisting with human resources tasks.

Responsibilities:

• Perform general office duties including handling phones, mail, FedEx, greeting/directing visitors, filing, and ordering office supplies

• Execute office administration tasks including billing (accounts receivable), receiving, reviewing/updating daily job work orders, assisting with accounts payable, and inventory tracking

• Assist with month-end reporting and hiring processes

• Support the Sales Department by proofreading documents generated by sales staff, updating daily/monthly spreadsheets and charts, reviewing daily sales reports for errors, and acting as a backup for purchase order entry

• Ensure data entry accuracy and attention to detail in all tasks

• Utilize strong computer skills, specifically MS Excel, to maintain and create spreadsheets

• Collaborate with multiple departments/locations, demonstrating the ability to multitask and prioritize

• Handle confidential documents and complete documentation as required

• Distribute incoming mail, faxes, meeting minutes, and correspondence

• Deliver outgoing mail and manage mail distribution processes. Requirements • Proficient in MS Excel and other spreadsheet applications

• Experience in maintaining and creating spreadsheets

• Skilled in data entry and computer data entry tasks

• Ability to mentor and orient new hires

• Knowledge and experience in accounts payable (AP)

• Excellent proofreading skills and attention to detail

• Experience in handling confidential documents and complete documentation

• Experience in document scanning and creating electronic copies of documents

• Familiarity with photocopiers and other office equipment

• Experience in managing mail distribution tasks such as delivering mail, distributing incoming mail, faxes, meeting minutes, and correspondence

• Proficiency in managing invoice copies and customer invoices

• Experience in month end close processes

• Ability to work in a mailroom environment and handle outgoing mail tasks

• Experience in administrative tasks in a manufacturing environment.
