What we want
The Senior Administrative Coordinator I for the College of Nursing, under the direction of the Assistant Dean – Round Rock Distance Site, provides high-level and effective executive and administrative support to the Assistant Dean, as well as support to faculty, staff, students and the College of Nursing. May supervise, train, and evaluate the work of others as assigned.
Required Education and Experience:
Bachelor's degree or equivalent combination of education and experience
Six years of related experience in office administration.
Preferred Qualifications:
Administrative support experience in an academic setting
Knowledge, Skills, and Abilities :
Knowledge of word processing, spreadsheet, database, and presentation applications
Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative

Responsibilities:
Executive and Administrative Support
Assists in the coordination and resolution of complex, highly sensitive, and confidential administrative matters.
Plans, prioritizes, and coordinates administrative support functions, activities/services, and identifies and recommends opportunities for improvement.
Coordinates committee meetings, prepare agendas, and organize and track agenda items.
Schedules and maintains calendar appointments and meetings with the Assistant Dean.
Coordinates travel arrangements and prepares itineraries as needed.
Participates in the planning and execution of administrative academic activities for the Round Rock campus and administrative interactions with the undergraduate faculty and leadership team.
Monitors and assists with management of programmatic, campus, and university compliance requirements for students, faculty, campus, and course coordination.
Liaises and fosters a collaborative environment with leadership, faculty, and staff across all CON sites and within the Texas A&M Health colleges.
Assists in engagement and collaborative efforts with local agencies, organizations, hospitals, colleges, and universities.
Staffs, researches, identifies, and assists with recruitment of the Round Rock CON Clinical Advisory Board.
Assists with the retention and security of essential, operational, fiscal, and other records/reports for the Round Rock College of Nursing campus.
Provides support for faculty search, hiring and evaluation processes.
Formulates, interprets, and/or implements management policies or operating practices.
Develops administrative and technical procedures.
Participates in the resolution of operating problems.
Recommends guidelines, policies, rules, and regulations.
Generates effective leadership communications with faculty and students regarding academic considerations, deadlines, and course schedules.
Maintains strict confidentiality concerning highly sensitive information including FERPA and HIPAA.
Serves on special projects and task forces within the CON as directed by Assistant Dean.
Performs special analyses and summaries to create and implement practical, efficient solutions to accomplish goals aligned with the CON mission and vision.
Prepares reports on program activities as assigned including compiling an analysis of course reports each semester.
May assist in hiring, training, and supervision of assigned staff and student workers as assigned.
Administrative and Logistical Duties
Coordinates and collaborates with planning for meetings, speakers/seminars, and special events within the CON, and may provide on-site support as needed.
Assists with management and classroom and Clinical Learning Resource Center (CLRC) event reservations based on faculty needs.
Collaborates with staff from other Texas A&M Health colleges as needed to coordinate and plan shared campus events.
Schedules meetings, records meeting minutes, and tracks the completion of tasks for various committees and taskforces, as assigned.
Provides logistical and administrative support for faculty and staff retreats, events, meetings and other special functions for the college.
Collaborates with CON staff, faculty, and administrators to meet complex program needs across multiple campuses.
Monitors project timelines and identifies issues.
Performs special analyses and project summaries.
Provides staff support to assigned CON committee.
Attends and actively participates in staff governance committee.
Faculty Support
Collaborates with course leads to maintain an accurate program textbook list and order the same before or by the required deadlines.
Collaborates with course leads regarding course management needs, including submission of course textbook resources (to university) and requests (to publishers) for desk copies for review.
Coordinates workflow with the aid of health education software; manage student schedules, documentation, evaluations, assessments, and grades of BSN program.
Negotiates, compromises, and builds buy-in between individuals or groups as needed.
Follows established communication channels about inquiries and issues.
Collaborates with faculty and Assistant Dean to facilitate participation and preparation for university and site-specific institutional on-boarding.
Supports faculty advisors of recognized student organizations in planning and reservations for on-site student organization meetings and events.
Student Support and Other Duties
Assists with new student orientation (NSO) events on the Round Rock campus.
Collaborates with members from the office of student affairs to facilitate participation and preparation for site-specific institutional on-boarding.
Supports recognized student organization leaders and faculty advisors in planning and reservations for on-site student organization meetings and events.
Performs other duties as assigned.
