The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
GENERAL PURPOSE:
Provides operational and high-level project support for the Office of the Dean of Students. Works closely with the leadership of Student Life and Academic Excellence and other University stakeholders to ensure strategic objectives are met and projects executed smoothly from inception to completion. Conducts research, analyzes data, and prepares analytical reports and recommendations to brief department senior leadership on emergent issues. Requires ability to work effectively in a fast-paced, team-orientated, high-visibility environment where the work is sensitive or confidential.
ESSENTIAL FUNCTIONS
Project Management
Plans, leads, and supports strategic initiatives and projects for the Office of the Dean of Students.
Develops project plans, identifies resources, delegates tasks, monitors and tracks status, and mitigates risk.
Ensures projects are executed on time, within budget and outcomes meet project goals and requirements.
Manages the alignment, buy-in, and support of diverse project stakeholders by building and maintaining relationships with internal /external partners, and leadership.
Leadership
Keeps department senior leadership appraised of significant issues and developments. Provides research, identifies and executes resolution.
Gathers, investigates, researches, analyzes, and summarizes information to support internal department or broader decision-making. Makes and executes recommendations.
Ensures leadership is fully briefed and prepared for effective and productive meetings. Identifies appropriate objectives for meetings and clear action items. This preparatory work will often require working with meeting participants and others in advance, producing agendas and/or briefing materials, and monitoring progress on subsequent action items. Develops communications on behalf of senior leadership for emergent or crisis matters. Collaborates with University leadership and Communications as needed.
Represents the AVP/Dean on various cross-functional University Committees.
Relationship & Communications Management
Serves as senior leadership liaison to internal and external groups dealing with a wide range of concerns and issues.
Fosters positive relationships with stakeholders, University units, and schools to ensure coordination and alignment of university strategic priorities. Functions as a committee member as assigned.
Coordinates with Communications on writing projects, including briefings, remarks, and materials. Ensures these items are prepared in advance of all meetings and engagements.
Works with University Communications and senior leadership to produce reports, briefings, presentations, speeches, and responses to institutional and strategic issues, as appropriate.
Coordinates efforts with the University units and schools to ensure alignment with other University Departments including University Student Life and the Office of the Dean of Students.
Researches, writes, edit, and/or coordinates communications.
Provide input on presentations and materials for various University stakeholders.
Operations Management
Identifies and provides operational improvements streamlining business practices. Develops and manages the content and logistics of key activities and initiatives. This includes agenda development; initiative and decision tracking; efficient/productive meeting logistics; and ensuring follow-up on action items and hand-offs or delegation as needed.
Oversees the annual process for scheduling strategic meetings and events.
Manages annual review process for the AVP/Dean’s Senior Leadership Group.

QUAL IFICATIONS
Bachelor’s degree required
Master’s degree preferred
5 years of progressively responsible, related work experience, including at least three years in an administrative capacity, preferably in a university setting required
or equivalent combination of education and experience required
Strong organizational and critical thinking skills and the ability to manage multiple priorities with a keen attention to detail required.
Excellent project management skills required.
The ability to maintain confidentiality is essential required.
Requires team-oriented, positive approach and the ability to communicate effectively with diverse constituencies required.
Superior interpersonal and diplomatic skills and the ability to establish and maintain positive working relationships with others and convey a high level of professionalism, collegiality, and respect for individuals at all levels of the organization required.
