GENERAL DESCRIPTION :

The Wyoming Water Development Office (WWDO) provides financial assistance to public entities for irrigation systems and municipal water supply projects within Wyoming. The office is currently seeking a full-time employee. This position performs various administrative duties including providing front desk customer service, creating and compiling department documentation, sorting and delivering mail, managing agency records, ordering office supplies, and other responsibilities as assigned. The primary documents created/compiled by this position include consultant contracts, construction project agreements, amendments, and the agency’s annual legislative report.

ESSENTIAL FUNCTIONS : The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.

  • Acts as a resource to provide information regarding the agency to staff, public, or other government entities, and to determine the most effective way of meeting the needs of management, staff, clients, or customers.

  • Performs executive-level administrative and support duties.

  • Management and oversight of all office equipment and supplies.

  • Coordinates program functions between a variety of sources.

  • Compiles vital information.

  • Serves as executive assistant to director and deputy directors.

  • Processes applications, files, records, etc. to determine action to be taken.

  • Formats and submits all contracts and MOUs through the Attorney General’s Office.

  • Researching and resolving issues with vendors.

  • Manages meeting rooms and vehicle use for the department.

  • Creates and edits reports and documents for management.

  • Responsible for processing, maintenance, and quality control of records and documents.

  • Oversight of office equipment, supplies, and vehicles.

  • Provides a review function to ensure items within the organization are being appropriately evaluated, investigated, and resolved and provides general guidance on avoiding or dealing with similar situations in the future.

Qualifications

PREFERENCES:

Preference will be given to those with at least one year of customer service experience, experience in formatting documents in Microsoft Word, and experience using the Cobblestone software.

KNOWLEDGE :

  • Knowledge of applicable computer applications.

  • Knowledge of records processing and maintenance procedures and systems.

  • Knowledge in the preparation of complicated documents.

  • Knowledge and understanding of the agency and each respective division/program.

  • Knowledge of investigating alleged non-compliance.

  • Knowledge of project management.

  • Knowledge of vehicle maintenance, service intervals, and requirements.

    MINIMUM QUALIFICATIONS:

    Education:

    Associate's Degree (typically in Business)

    Experience:

    0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

    OR

    Education & Experience Substitution:

    2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

PHYSICAL WORKING CONDITIONS :

  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.

  • Special physical demands are not required to perform the work.
