Position Overview:

The HR Coordinator is responsible for providing world-class administrative support across various functions of Human Resources. Interacting with internal and external customers, this position will provide proactive support for the full employment lifecycle, including recruitment, onboarding, performance management and employee recordkeeping. Success will be defined as developing an in-depth understanding of the company process or methodology, coupled with an overall understanding of external benchmarks, practices, and standards, to ensure that the coordinator is able to deliver best-in-class service within the areas of focus.

Essential Duties & Responsibilities:

Administrative Support:

  • Work to develop a comprehensive understanding of the internal processes which the position reports, including the recruitment process, the performance management process, employee engagement, and employee recordkeeping. Assist with day-to-day HR administrative tasks related to these processes.

  • Prepare HR documents for various functions.

  • Schedule meetings, interviews, and training sessions as needed.

Recruitment Support:

  • Actively assist the recruiting team with recruitment processes, including requisition management, job postings and open position management on external job boards.

  • Assist the recruiting team with candidate and perspective employee communication and compliance, collect necessary documentation, etc.

  • Maintain the applicant tracking system (ATS) as needed to ensure accurate candidate information.

Onboarding Assistance:

  • Support the onboarding process for new hires by preparing welcome packets, coordinating orientation sessions and training, and ensuring all required paperwork is completed.

  • Act as a point of contact for new hires, addressing or elevating any questions or concerns during their onboarding process.

  • Manage the new hire onboarding survey process for all new hires.

HR Projects and Initiatives:

  • Participate in HR projects and initiatives, such as employee training coordination, employee engagement surveys, diversity and inclusion programs, wellness initiatives, performance management processes, or any other HR related project support.

  • Oversee the proper and timely management of all human resources employee records, ensuring employee files and required documents are received, maintained, and properly/securely stored in both virtual and physical files.

  • Perform other related or unrelated duties as needed and assigned.

Minimum Requirements & Qualifications:

  • Associate degree in Human Resources or related field or equivalent experience required.

  • 1 – 3 years’ experience providing administrative support to a human resources team, preferably within a corporate environment.

  • 1 – 3 years’ experience providing direct HR recruitment support, including the use of an applicant tracking system.

  • Prior experience supporting an onboarding process preferred.

  • Prior experience working with an HRIS or recruitment platform a plus.

  • Ability to work independently, as well as within a team, to support the overall strategy and department goals.

  • Solid organizational skills, attention to detail and the ability to use sound judgement independently as needed.

  • Outgoing, passionate and dedicated individual who thrives in a support role.

  • The ability to multi-task and to manage several projects/tasks at once while projecting a positive outward demeanor.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Above average communication skills, both written and verbal, with the ability to provide accurate and timely information in a succinct and easy to understand manner.

  • Above average skills with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
