JOB DUTIES:

· Provide administrative support including, but not limited to: file maintenance, schedule and appointment management, production of correspondences, and the handling of day-to-day business details.

· Stay up to date on Marketing Response Specialist, Property Manager, Sales Support Specialist, and Office Manager roles and duties.

· Assist with recruitment, hiring and onboarding of all new sales team and property management members.

· Be able to recognize the link between specific projects and broad company goals with clarity to make actionable goals by understanding the larger context.

· Help expand and/or draft new standard operating procedures and policy throughout the year.

· Serve as a liaison to the Cliffs Resident Outreach and corporate departments, i.e., Marketing, Membership, HR, etc.

· Manage Marketing State Registration compliance.

· Oversee and coordinate calendar of meetings, appointments, and interviews.

· Prepare accurate and attractive reports, presentations, and spreadsheets using MS Office.

· Efficiently audit and distribute database reports.

· Prepare materials in advance of company meetings, business development activities, board meetings or client/project meetings.

· Contribute to the team effort in providing high quality, professional and friendly service to clients/prospects.

· Cooperate with staff throughout the company and develop productive, strong relationships while maintaining confidentiality on relevant matters.

· Prepare expense reports as requested.

· Assist with the scheduling and coordination of sales meetings, training, and events.

· Make travel arrangements, including accommodations, meeting rooms, and team events.

· Must be proficient in PropertyBase.

· Curate team events and team-building activities.

· Assist with long-term strategic planning in regard to Cliffs Realty, Cliffs Property Management, out broker relationships, and other opportunities as they arise.

· Serve as point of contact when executive is out of office.

· Work in the best interest of the Team and emulate The Cliffs’ core values.

BACKGROUND/EXPERIENCE:

· Bachelor's Degree and Real Estate license preferred but must be willing to obtain

· Excellent word processing skills, including exceptional proficiency in Word, PowerPoint and Excel.

· Strong ability to multi-task while maintaining unwavering attention to details and priorities.

· Exceptional organizational skills with attention to detail and excellent follow-through to bring tasks to conclusion in a timely manner.

· Strong proofreading skills.

· Assertive and exceptionally organized with tasks to keep the executive on track and on schedule.

· Comfortable handling strong personalities.

· Needs a strong sense of urgency.

· Must be proactive, a self-starter, and enjoy independent work.

· Proven time management skills.

· Convey a professional appearance and professional telephone manner with excellent customer service when applicable.

· Exceptional relationship building skills with both internal and external stakeholders.

· Ability to act with discretion and maintain confidentiality as needed.

· Demonstrated ability to maintain discretion and handle/manage highly confidential and conflicting information.

· Demonstrated ability to take initiative, anticipate needs, and exercise independent/sound judgment.
