We are seeking a highly organized and proactive Executive Assistant to support our leadership team. This individual will play a crucial role in ensuring the smooth operation of day-to-day activities by providing administrative, logistical, and strategic support. The role requires exceptional organizational skills, discretion, and the ability to handle sensitive information with the utmost confidentiality.
Key Responsibilities:
Manage and maintain the executive's calendar, including scheduling meetings and appointments, arranging for meeting rooms or facilities, and making travel arrangements.
Prepare and edit correspondence, presentations, and reports as needed.
Monitor and prioritize incoming emails and communications, ensuring timely responses.
Act as a point of contact between the executive and internal/external stakeholders.
Oversee the preparation of meeting agendas, take detailed minutes, and follow up on action items.
Maintain organized filing systems for both physical and digital records.
Coordinate events, meetings, and client engagements, ensuring all details are attended to.
Maintain confidentiality and handle sensitive information with professionalism and discretion.
Assist with ad hoc projects and tasks as needed.
Qualifications:
Associate's degree, with a minimum of 4 years of experience as an Executive Assistant, Administrative Assistant, or similar role or a minimum of 6 years of experience.
Exceptional organizational and time-management skills.
Detail oriented and ability to prioritize and meet deadlines.
High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
Strong written and verbal communication skills.
Strong initiative and ability to work with minimal supervision
Demonstrated ability to maintain confidentiality and handle sensitive information.
Professional demeanor and the ability to interact effectively with clients and team members.
Ability to work in the office the majority of the time with some flexibility
