Description
San Mateo County Health is seeking a well-qualified individual for the position of Epic Training Management Analyst-Health IT – Limited Term.
The current vacancy is limited term in the Health IT Division. This position is located in San Mateo, CA, but will travel/drive throughout the County to perform duties of the job.
Responsibilities will include, but not limited to, the following:
Assist in the coordination and delivery of Epic training programs, including onboarding, refresher courses, and upgrade training.
Manage training schedules, logistics, and classroom resources to ensure seamless training execution.
Maintain and update training materials, ensuring alignment with system updates and workflow changes.
Support Super Users and department trainers in reinforcing best practices and knowledge retention.
Assess, manage, and resolve end-user training-related tickets, determining training needs and coordinating appropriate responses.
Manage users and training assignments within the learning management system, ensuring training requirements are met based on defined policies and role-specific criteria.
Familiarize oneself with various Health Information Technology (HIT) applications builds and workflows to address training needs effectively.
Ensure all new hires are fully trained and provisioned before their start date while also supporting end-user training and technical classroom requirements virtually or onsite.
Collaborate with super users to educate end-users through initial training, upgrades, and refresher sessions.
Guide users through system personalization processes.
Assists in developing goals, objectives, policies, procedures, work standards, as it relates to the training program.
Represents assigned department in interdepartmental, community and/or professional meetings; confers with and coordinates with other County staff on a wide variety of training initiatives.
Attends meetings, conferences, workshops, and training sessions and reviews publications and related materials to become and remain current on principles, practices, and new developments in assigned work areas.
Communicates orally, in writing, or through graphic representations and statistical summaries with colleagues, managers, employees, the public, organized employee groups and representatives of various organizations.
Performs other duties as assigned.
Ideal candidate will possess:
Experience with Health IT project and/or program management, analytical processes, and report preparation techniques.
Experience/knowledge of Health IT EMR/EHR systems and clinical workflow within acute, outpatient, or behavioral health settings.
Ability to utilize Microsoft suite of tools, or similar project management tools, for purpose of meeting, team, and project management (e.g. Teams, OneNote, Excel, Powerpoint, Visio).
Experience with basic principles, practices, and procedures of service management and project management experience.
Demonstrated ability to establish, maintain, and foster positive and effective working relationships with those contacted in the course of work
Proficiency in managing a high volume of emails with strong written communication abilities.
Technical proficiency to assist end-users with technical needs.
Capability to coordinate and lead meetings effectively.
Strong organizational skills with the ability to multitask efficiently.
Strong interpersonal and communication skills, capable of engaging learners and stakeholders at all levels.
Knowledge of calendar and schedule management.
Experience handling shared mailboxes.
Proficiency in conducting presentations both in person and virtually.
Proficient in problem-solving with the ability to prioritize tasks effectively.
Competence in running and interpreting reports using various tools.
This is a limited term, at-will position. Limited Term Employees are assigned to assignments not to exceed three years. They receive medical and dental benefits, similar to regular employees, and a defined contribution retirement plan.

Knowledge of:

Organize and prioritize a variety of projects and multiple tasks in an effective and timely manner; organize own work, set priorities, and meet critical time deadlines.
Operate and maintain modern office equipment, including computer equipment and specialized software applications programs.
Use English effectively to communicate in person, over the telephone, and in writing.
Establish, maintain, and foster positive and effective working relationships with those contacted in the course of work.
Plan, organize, and carry out assignments from management staff with minimal direction.
Plan and conduct effective management, administrative, and operational studies.

Effectively represent the department and the County in meetings with governmental agencies, community groups, and various businesses, professional, and regulatory organizations, and in meetings with individuals.
Education and Experience:
Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be:
Equivalent to graduation from an accredited four-year college or university with major coursework in business administration, public administration, or a related field. At least one year of professional administrative experience is typically required at the Associate Management Analyst level, and at least 3 years for the Management Analyst level.

PHYSICAL DEMANDS
Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. This is primarily a sedentary office classification although standing in work areas and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, typewriter keyboard, or calculator and to operate standard office equipment. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information.
ENVIRONMENTAL ELEMENTS
Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures
