Compensation Range:
$21.36 - $29.90
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
GENERAL PURPOSE:
Serves as administrative assistant to a singular leader whose role is within the leadership career stream. Provides general administrative support. Maintains and files reports and other information. Schedules and coordinates logistical support for conference calls and meetings. Makes travel arrangements. Provides word processing and other document preparation services. Locates and retrieves information in support of management and technical staff.
ESSENTIAL FUNCTIONS
High level support to the REI division. Support REI faculty including Division Chief (5 full-time MDs, 3 full-time lab faculty and 3 full-time fellows for their academic/administrative needs and support division staff as needed including APPs. Including but not limited to scheduling all administrative meetings, faculty recruitment process, reimbursements in workday, high level of problem solving, and strong communication skills needed.
Support REI fellowship program. Support 3 full-time fellows including but not limited to complex scheduling of education sessions, scheduling required rotations with different departments, maintaining fellowship schedules, processing reimbursements, trouble shoot any issues that come up for their academic needs
Facilitate contracts with UR purchasing for IVF contractors and manage purchase order for their services in P2P system. Make arrangements for contractor visits
Manage resident, medical student, medicine endocrine fellow rotation through REI division including assignments on clinic schedule
Create and manage purchase orders and SIR requests in P2P system.
Participate and prepare for site visits from various organizations
Process licensing renewals for clinic
Maintain contracts from various organization and facilitate renewal when needed
MINIMUM EDUCATION & EXPERIENCE
Associate's degree and 2 years of relevant administrative experience required
Bachelor's degree preferred
Or equivalent combination of education and experience
KNOWLEDGE, SKILLS AND ABILITIES
Ability to maintain confidentiality required
Exceptional organizational, time management and administrative skills required
Strong communication skills, both verbal and written required
Strong technical skills, including a high level of proficiency in Microsoft Office required
