Position Summary

As a Legal Administrative Assistant , you will be supporting M&A and antitrust projects and training programs, including organization, identifying internal stakeholders, handling and following up on legal document requests, ensuring accuracy of data and updating and maintaining relevant files. Additionally, you will be providing administrative support on document preparations, organizing training, preparing travel arrangements and expense reports. You will also be responsible for screening calls and meeting requests as well as maintaining calendars and handling routine correspondence.

A Day in the Life of a Legal Administrative Assistant

  • Project management including organizing timelines and communications with internal stakeholders

  • Assisting with questionnaires from authorities

  • Handle and follow up on legal document requests, including Power of Attorney (PoA), proxies, shareholders' resolutions, and legalization

  • Organize, maintain and archive relevant files and data for easy retrieval

  • Edit and improve guidance documents and presentations, check and fine-tune content, correct spelling and grammar

  • Organize travel arrangements and expense reports (airplane, hotel, car, visa) in line with Nestlé Policy and coordinate with Markets when appropriate in case of visits

  • Screen phone calls, meeting requests and manage Outlook schedules

  • Handle routine correspondence, short notes, and other documents using word processing, spreadsheets, databases, or presentation software

  • Organizing internal workshops in Switzerland and the global antitrust L&C conference every 1-2 years

  • Support ad-hoc administrative tasks

What will make you successful

  • Extensive experience as an Executive Assistant

  • Excellent knowledge of the corporate structures, functions, and roles within the organization, as well as familiarity with Nestlé-specific systems and software such as Concur and internal administration tools

  • Ability to effectively manage stress and handle multiple priorities, demonstrating strong organizational and time management skills

  • Excellent communication and stakeholder management skills, both written and verbal

  • A creative mindset and a proactive approach to problem-solving, constantly seeking opportunities for continuous improvement

  • Open-minded, positive, and can-do attitude

  • Very good knowledge of MS office, including PowerPoint and Excel

  • Proficient in English and French. German or other languages would be considered a plus
