Job Description:

CDM Smith has a new opening for an Executive Assistant in the Southeast. This role will support our Transportation Sales/Delivery Director. Responsibilities are below -

• Researches, compiles, computes and analyzes data using computer applications which include Concur

• Utilizes software applications for word processing and spreadsheets.

• Performs analyses of a moderate to complex nature relative to financial data, organizational issues, senior management staff, professional organization, and/or business issues.

• Utilizes presentation software applications to prepare materials for internal and external presentations and/or professional organizational seminars.

• Performs extensive administrative support duties.

• Prepares and types correspondence, reports and records from moderately complex and/or confidential source documents.

• Drafts and edits correspondence for management review.

• Schedules management travel arrangements, internal and external business meetings, and client or third-party appointments.

• Executes group, unit or firm-wide initiatives, as well as outside societies’ administration, etc., as assigned by the Unit President or Corporate Manager.

• Investigates assigned issues, determining the best method of analysis, procedure, and resolution.

• Coordinates group or unit work related to Human Resources issues and/or performance appraisal processes, as needed.

• Maintains the communication flow of firm activities.

• Fields and responds to questions, handles complex details and advanced administrative duties for leadership.

• Prepares, drafts, edits and routes correspondence, responds and directs telephone calls.

• Interacts with senior level management internally, and clients on a daily basis to ensure the proper flow of communication.

• Generates and distributes several weekly, monthly and quarterly business operations reports with no supervision and minimal review.

• Maintains business operation reports as well as weekly and monthly logs for management updates.

• Performs other office tasks that may include but not limited to procurement support.

• Performs other duties as required.

Minimum Qualifications:

• High School diploma or equivalent.

• 8 years of related experience.

• Domestic and/or international travel may be required. The frequency of travel is contingent on specific duties, responsibilities, and the essential functions of the position, which may vary depending on workload and project demands.

• Equivalent additional directly related experience will be considered in lieu of a degree.

Skills and Abilities:

Excellent interpersonal skills. Ability to effectively interact with managers and clients at senior levels, exercise exceptional judgment and work with confidential information. Excellent communication and presentation skills for a wide variety of internal and external audiences. Excellent computer skills utilizing Microsoft Office Suite with proficiency in Adobe or BlueBeam. Demonstrates flexibility and ability to prioritize work and juggle assigned work with competing priorities.

Background Check and Drug Testing Information:

Additional Compensation:

All bonuses at CDM Smith are discretionary and may or may not apply to this position.
