Receptionist - Vancouver (On-site)

The Opportunity:

As a Receptionist at HUB Financial Inc., you'll play a pivotal role in ensuring a warm and efficient welcome to everyone who contacts us, whether that’s in person, by phone, or by email. We're seeking an individual who understands the importance of exceptional customer service and is ready to become an integral part of our dynamic team.

You'll have the opportunity to establish strong connections with our team members, our brokers, and their clients, by providing seamless customer service and support.

A day in the life:

  • Welcome and direct incoming brokers and clients to the appropriate personnel or department. This could be in person, by phone, or by email.

  • Monitor and respond to voicemails, emails and faxes in a timely and appropriate manner.

  • Receive and distribute all incoming mail for the office. This includes scanning documents and sending them to the appropriate department.

  • Prepare and arrange outgoing couriers for various documents.

  • Monitor and order office supplies, snacks and beverages. This includes items such as paper supplies, business cards, access cards, keys.

  • Assist in scheduling and managing boardroom bookings for staff.

  • Coordinate the booking of broker rooms for all brokers.

  • Ensure the overall tidiness and cleanliness of the entire office.

  • Assist in turning on the dishwasher before leaving the office and remove cleaned items and store them in the drawers/cupboards.

  • Collaborate with the Property Management Office to address any office maintenance requests promptly, and distribute all relevant communications to our staff and tenants.

  • Perform operational tasks such as managing changes of address, premium payments, client document scanning.

  • Assist in coordinating staff events such as venue booking, food ordering and office decorating.

  • Coordinate with service vendors and monitor the maintenance of office equipment.

Who you are:

  • Positive attitude with a strong focus on customer service.

  • At least one year of related experience as a Receptionist or Administrative Assistant.

  • Proficiency in typing and working with computer applications, including the Microsoft Office suite, MS Teams.

  • Demonstrated ability to communicate effectively, both written and verbal.

  • Experience with phone systems such as Teams Phone and inContact is an asset.

  • Strong attention to detail and effective problem-solving skills.

  • Efficient and effective work habits, utilizing excellent time management skills.

  • Knowledge of current industry trends considered an asset.

Compensation:

The expected salary range for this position is $42,000 to $45,000 and will be impacted by factors such as the successful candidate’s skills and experience, as well as the specific position’s business line, scope and level.
