Robert Half Administrative Assistant in Valley Center, California

Description We are in search of a meticulous Administrative Assistant to join our team located in Valley Center, California. In this role, you will be responsible for a variety of tasks ranging from reception desk duties to providing comprehensive administrative support to our board. This role offers a long term contract employment opportunity.

Responsibilities:

• Serve as the initial point of contact for the executives, handling both internal and external client interactions.

• Manage time effectively to ensure all tasks are completed within set deadlines.

• Exhibit strong verbal and written communication skills in all correspondence.

• Organize tasks efficiently and handle multiple tasks simultaneously.

• Solve problems and make decisions in a timely and effective manner.

• Show initiative and self-direction in all tasks undertaken.

• Display strong interpersonal skills in all interactions.

• Maintain a professional demeanor when handling sensitive internal and external matters.

• Provide general administrative and clerical support to the board, including scheduling and coordinating meetings and appointments.

• Maintain, update, and copy confidential files, ensuring a well-organized electronic and hard copy filing system.

• Take responsibility for receiving calls, taking messages, and routing correspondence.

• Prepare and modify various documents, including correspondence, reports, drafts, memos, and emails.

• Perform data entry and scan documents, ensuring accuracy and efficiency.

• Assist in resolving any administrative problems that may arise.

• Run errands as needed to support company operations.

• Monitor office supplies and research advantageous deals or suppliers. Requirements

• Demonstrated experience in customer service

• Ability to handle inbound and outbound calls professionally

• Excellent skills in data entry and maintaining accurate records

• Familiarity with email correspondence and managing professional communication

• Experience in scheduling appointments and managing calendars

• Strong written and verbal communication skills

• Excellent organizational and time management skills

• Attention to detail and problem-solving abilities

• High level of discretion and judgement in handling confidential information

• Ability to work both independently and as part of a team.
