Summary: The Parts Clerk is responsible for managing the inventory of parts, including ordering, receiving, stocking and distributing parts as needed. In being a proactive thinker, the Parts Clerk plans ahead to ensure that all required parts for job orders align with company standards and priorities. As a communicator on a unified team, they will also be responsible for building and maintaining strong cross-functional relationships. This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively with all teams to ensure timely and accurate parts availability. Will align with best practices and plan with the big picture in mind. This individual will share helpful knowledge and continuously improve communication channels.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Sorts and places materials or items on racks, shelves, or in bins according to predetermined sequence such as size, type, style, color or product code.

  • Opens and closes work order requests

  • Identifies damaged or shortage of items.

  • Receives incoming shipments, verify contents and inspect for discrepancies.

  • Enters inventory data into computer systems or databases to maintain accurate records.

  • Evaluates all completed work orders and ensures that the parts removed from the stock room have been assigned to the correct work orders.

  • Operates forklifts, scissor lifts, and company van.

  • Communicates regularly via telephone, email, fax, in person, postal mail, etc. with suppliers, shippers, and personnel of Verifies nomenclature and specifications of purchase requests.

  • Generates reports on inventory levels, discrepancies, and stock movements as required.

  • Searches inventory records to determine if material on hand is in sufficient quantity.

  • Consults catalogs and suppliers to obtain prices and specifications of parts used per work order and recommends supplier to utilize.

  • Compiles records of items purchased, transferred between departments, prices, and deliveries.

  • Compares prices, specifications, and delivery dates and places orders with suppliers.

  • Creates and receives accurate purchase orders.

  • Assigns accurate information to required fields of purchasing and inventory records.

  • Performs other parts transactions as directed.

  • Serves as the contact person and coordinator for parts running.

  • · Maintains cleanliness of general maintenance parts room (sweeps and mops shop floors, removes large quantities of trash).

  • Adheres to and enforces safety, food safety, quality and Good Manufacturing Practices regulations.

  • Reports safety, food safety, and quality problems to personnel with authority to initiate action.

    Education and/or Experience:

  • High School Diploma or GED;

  • One to three years parts and/or inventory experience and/or training;

  • Must possess a valid driver’s license

    Language Skills:

    Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to create and maintain professional relationships with all levels of the organization (peers, work groups, Supervisors) and extended business partners. Ability to recognize and read locations, dates and product specifications.

    Reasoning Ability:

    Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

    Computer Skills:

  • Basic computer skills, including a basic ability to use Microsoft Office software, specific knowledge of Excel is required.

  • Ability to quickly learn to use the department’s asset management software (EAM).

    Other Knowledge, Skills and Abilities:

  • Excellent communication skills, both verbal and written.

  • Excellent time management skills.

  • Excellent attention to detail, organization & follow-through skills is essential.
