The Department of Aerospace Engineering in The Grainger College of Engineering seeks applicants for a Graduate Programs Assistant position. This position will support the administrative, advising, recruiting, and admissions operations of the department\'s graduate programs.

DUTIES AND RESPONSIBILITIES:

Program Administration and Advising

  • Serve as the contact for aerospace engineering graduate students regarding department and campus policy and procedures. Monitor degree progress and meet with students as needed to discuss department requirements.
  • Schedule qualifying exams, review preliminary and final exam committee requests.
  • Forward petitions to Graduate College for review.
  • Assist with teaching assistant assignments for the department.
  • Assist with the advising process for the department\'s graduate students without a research advisor.
  • Process and track graduate student appointments.
  • Assist in entering fellowships, assistant appointments and awards in the Graduate College system.
  • Assist with organizing new graduate student orientation.

Program Recruiting:

Assist with organizing annual department graduate information night.

Work with the campus and The Grainger College of Engineering to recruit underrepresented groups to engineering.

Assist with organizing prospective graduate student visit day for the department.

Assist with recruitment process, including corresponding with prospective students prior to admission.

Attending recruiting events at annual conferences to promote the department graduate program.

Program Admissions:

Support the graduate admission processes (offer, acceptance, rejection, and deferral) which includes use of the online graduate admissions database to organize graduate admissions applications for applicants each year.

Submit fellowship applications for prospective graduate students to The Grainger College of Engineering and the Graduate College.

Special Projects:

Provide input to efforts to improve and streamline department processes.

Attend meetings for the Director of Graduate Programs as requested.

  • Serve on the department Graduate Admissions Committee and the Graduate Policy Committee.
  • Assume additional appropriate graduate program assistant duties to further the mission of the department.

*MINIMUM QUALIFICATIONS*

  • Bachelor\'s degree.
  • A total of one (1) year (12 months) of work experience in academic advising, admissions, or student support services.
  • Experience working with people from diverse backgrounds.

PREFERRED QUALIFICATIONS

  • Demonstrated experience with graduate student academic records and registration, electronic records systems (SCT Banner).

KNOWLEDGE, SKILLS, AND ABILITIES

  • In-depth knowledge of campus and department academic and personnel policies and the ability to assess the teaching and research needs of the department.
  • Proven track record of customer services with particular emphasis on interactions with faculty and graduate students and must be results-oriented with strong organizational and time management skills.
  • Ability to organize, prioritize, and manage diverse activities.
  • Strong, interpersonal, written, and oral communication skills.

Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12- month basis. The expected start date is as soon as possible after the close date. The budgeted salary range for this position is \$48,000- \$55,000, commensurate with experience nd qualifications. The employee hired into this position will work primarily onsite with some remote opportunities. Sponsorship for work authorization is not available for this position.
