JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Graduate School at Penn State University is seeking a Graduate Records Coordinator with strong attention to detail, communication and problem-solving skills for its Theses and Dissertations team.

Responsibilities: Primary responsibilities for the position include the following duties:

  • Oversee the thesis and dissertation process for the Graduate School

  • Provide guidance to students, faculty, and staff to ensure all master’s theses and doctoral dissertations meet Penn State’s format standards in accordance with the Thesis and Dissertation Guide and are ready for electronic submission and digital archiving; Review theses and dissertations after format submission and provide correction feedback

  • Approve all final theses and dissertations and verify committee member approvals through the ETDA (Electronic Theses and Dissertations Administration) system; Report, investigate, and troubleshoot technology issues with the ETDA system; Develop new systems/enhancements with the Graduate School technology teams to support the thesis and dissertation milestone and the ETDA system

  • Utilize LionPATH student information system for all applications related to the Office of Theses and Dissertation process; Manage confidential information

  • Serve as the primary liaison with students, faculty, graduate programs, library personnel and other university stakeholders on all thesis and dissertation related issues; Develop and deliver training on system and policy interpretation and application regarding academic and administrative policy and technology processes that support the thesis and dissertation process

  • Collaborate with graduate program staff by providing accurate timeline information for students and develop robust communication structures to relay important student milestone information; Create, maintain, and update pages on the Graduate School website related to Thesis and Dissertation Information

  • Collaborate with Graduate Enrollment Records Team for students that did not meet the final submission deadlines

  • Complete other records functions as determined by the Director of Graduate Records

  • Collaborate with Alumni and External Relations on all graduate commencement ceremonies.

Work Arrangement: The Graduate School is supportive of flexible work arrangements when aligned with the ability to meet the needs of the unit and the essential duties of the position. Questions related to flexible work should be directed to the hiring manager during the interview process.

Education and Experience: This position requires a minimum of a Bachelor’s degree and 1+ years of related experience or an equivalent combination of education and experience.

Excellent interpersonal, organizational, oral and written communications skills are essential. Proficiency in Microsoft Office 365 is required. Requires excellent judgment in problem solving with a focus on solutions and being adept at technology and data-management systems for tracking projects and for improving workflows for all constituent groups. This individual must be able to meet tight deadlines while maintaining high quality and customer-service standards.

Experience working in higher education, utilizing a student information system, and formatting documents to publication standards is preferred.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
