Modern Support Services Office Manager in Uniontown, Ohio

Modern Support Service, Inc. is seeking an experienced Office Manager.

Position Summary: The function of the Office Manager is to manage the overall business and daily office functions that include receiving guests, ensuring coordination of general office functions, data entry develop, and business functions of MSS Ohio and EmployAbility.

Qualifications:

  • College degree (bachelor level) or equivalent with a minimum of 3 years of experience;
  • Demonstrated ability to multi-task various office tasks;
  • Experience with remote data entry/retrieval;
  • Positive/confident presentation of self;
  • Exceptional time management skills

Requirements:

  • Good driving record (less than 6 points) with reliable transportation, auto registration and

insurance.

  • BCI clearance and other background requirements; Pre-employment drug screening.
  • First Aid/CPR certification; Medication Administration certification.
  • MSS required training.
  • Above average communication (written/verbal) skill.
  • Motivated, energetic and organized.
  • Ability to respond to emergencies.

Responsibilities:

  1. Business Model.
  • Establish a schedule/routine of office and business functions imposed by either internal necessity and/or external vendors and contractors;
  • Establish a system of business controls that comply with either MSS business functions or requirements of business partners i.e. SCBDD, DODD, ODHS, Medicaid
  • Serve as a "point of first contact" either by telephone, face to face or other technology for inquiries about the scope of services available;
  • Ensure that all office and program supplies/materials are ordered and available when needed;
  • Assist Regional Manager with initial employee (potential) contacts & schedule interviews;
  • Assist Regional Manager with MSS Ohio employment processes e.g. application, training, compliance;
  • Assist Regional Manager with support delivery billing i.e. DODD & CB DD;
  • Reconcile documentation of support delivery i.e. time sheet/billing;
  • Respond to telephone referral/inquiries during Regional Manager's absence;
  • Prepare monthly financial and operation reports;
  • Develop/maintain support recipient files;
  • Ensure that payables (loan(s), insurance, rent, service, etc) are completed on time
  • Ensure active and ongoing communication and collaboration with individuals, family members guardians, Service and Support Administrators, professionals, contractors and other stakeholders.

     

  1. Staff Recruitment, Training, Supervision.
  • Ensure that required training is scheduled for each new/existing staff according to the DODD regulations and agency policy and procedure manual, including required updates. Develop and implement periodic staff training program according to DODD and company requirements.

     

  1. Financial Responsibilities/Documentation and Recordkeeping.
  • In collaboration with the Regional Manager, develop start up and equipment budgets to ensure that supplies, materials and equipment are adequate for the Learning Center operations;
  • Maintain proper recordkeeping for agency expenses, supplies and equipment, including inventories and records of expenditures;
  • Ensure that ISP, billing and timekeeping requirements are managed according to the regulatory requirements and submitted in an accurate and timely manner;
  • Ensure that employee records and evaluations are maintained according to the documentation requirements and best practices;
