Position Summary:

We are seeking a highly organized and proactive Administrative Coordinator to support the operational and administrative needs of a client in the Tuskegee AL area. Reporting directly to the Department Head, the Administrative Coordinator will serve as a key point of contact for internal and external stakeholders, ensuring seamless communication and efficient coordination of departmental activities. This role requires excellent multitasking abilities, attention to detail, and the ability to maintain confidentiality in all matters.

Requirements

Key Responsibilities:

Administrative Support:

  • Provide comprehensive administrative assistance to the Department Head, including managing calendars, scheduling meetings, coordinating travel arrangements, and preparing necessary materials.

  • Draft, edit, and proofread correspondence, reports, presentations, and other documents as needed.

Coordination and Communication:

  • Act as a liaison between the Department Head and various stakeholders, maintaining clear and professional communication at all times.

  • Manage the flow of information within the department, ensuring tasks and projects are appropriately prioritized and delegated.

Meeting and Event Management:

  • Plan and organize departmental meetings, including preparing agendas, taking minutes, and following up on action items.

  • Support the logistics for on-site and off-site department events, including catering, technology setup, and scheduling.

  • Records and Reporting:

  • Maintain and organize departmental files, contracts, and records in compliance with company policies (Source: RH Acronym Guide).

  • Prepare and distribute regular reports and presentations, ensuring accuracy and timeliness.

Budget and Expense Management:

  • Monitor departmental budgets, track expenses, and prepare financial reports as requested.

  • Handle purchase orders, vendor relations, and expense reimbursement processes.

Process Improvement:

  • Evaluate current administrative processes and recommend ways to enhance efficiency and productivity.

  • Stay informed of company policies, tools, and technologies to ensure proper implementation within the department.
