System One Project Management Administrative Assistant in Tulsa, Oklahoma

System One has partnered with a Tulsa company that is looking for a skilled Project Management Administrative Assistant. This position supports the administrative needs of the Project Management team, focusing on maintaining project financial data, invoicing, updating project schedules, packaging deliverables, and helping track submittals and requests for information.

Essential Functions:

  • Set up new projects in relevant software systems.

  • Assist with maintaining project details and reporting.

  • Help prepare proposals, budgets, schedules, and project deliverable files.

  • Coordinate with accounting on invoicing and follow-up with project managers.

  • Manage meeting logistics, including documents and notes.

  • Organize filing systems for electronic and paper documents.

  • Assist with permit applications and tracking project action items.

  • Provide general support for Project Managers, including documentation and spreadsheet maintenance.

  • Track time commitments and task completion systematically.

Qualifications:

  • High School diploma required; Associate's degree or relevant certification preferred.

  • Minimum of three years of related experience, preferably in an AEC environment.

  • Proficiency in computers and MS Office; familiarity with Deltek Vision/VantagePoint is preferred.

  • Strong organizational skills and attention to detail.

  • Ability to handle multiple assignments in a dynamic setting.

  • Knowledge of financial coding and client billing processes.

  • Competency in data entry and document management.
