The Children's Home Society of New Jersey Senior Executive Administrator to the CEO in Trenton, New Jersey
The Executive Administrator will provide high-level administrative support to the President & CEO of The Children's Home Society of N.J. and to the Board of Trustees when assigned. The successful candidate will be responsible for managing agency intake, training and supervising reception and clerical staff. Additionally, this position will require proficiency in project management, acting as a liaison with board members, staff, auxiliaries, other agencies, and the general public, and preparing correspondence and reports as needed. All work needs to be approached with a commitment to confidentially and with sensitivity to staff, board and community.Other Skills and Abilities: Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology. Excellent computer skills are required; Stenography a plus and transcription from tape required.Primary Responsibilities:• Provide high-level administrative support to the President & CEO of The Children's Home Society of N.J.• Manage and maintain the executive's schedules.• Receive and direct community requests that come to the CEO office under CEO supervision.• Act as a liaison with board members, staff, auxiliaries, other agencies, and the general public.• Compose correspondence and prepare reports as needed.• Prepare agendas and make arrangements for committee, board, and other meetings. Keep Files, Minutes, Motions, Board Committee staffing, Board Roster, and Union negotiations files.• Research and develop personnel and administrative policies.• Coordinate and interact with donors.• Attend special events as needed, as an agency representative for help and public relations.• Prepare special projects and proposals as needed.Reception and Intake Management:• Supervise reception and intake at the agency headquarters facility.Policies and Procedures:• Collect and organize policies, standard operating procedures, curricula and practice documents from administrative departments and program areas.Salary commensurate with experience.
