FRONT OFFICE ASSISTANT

JOB DESCRIPTION

The Front Office Assistant will receive general supervision, direction and guidance from the Community Manager. The Front Office Assistant will comply with established policies and procedures and not take any actions to such guidelines without authorized approval. The Front Office Assistant should always conduct themselves in a professional manner and treat residents as well as incoming guests in a friendly and respectful manner.

The duties include but are not limited to the following:

  1. Resident selection in accordance with proper HUD guidelines.

  2. The leasing of apartments in an expeditious manner.

  3. Prepare and maintain complete resident files according to the policies of CRM Residential.

  4. Prepare annual recertifications and interim recertifications of all residents in a timely

manner in accordance with the Housing of Urban Development Regulations.

  1. Maintain general office files.

  2. Distribute mail, greet incoming visitors and residents, and answer telephones.

  3. Maintain the waiting lists and keep Community Manager abreast of status.

  4. Accept applications from prospective residents and process in a timely manner.

  5. Prepare work order requests from residents and process to Maintenance Department

  6. Prepare required paperwork and documentation for new resident orientation

  7. Prepare computer reports periodically required by CRM Residential and file accordingly.

  8. Implement all of the occupancy requirements.

  9. Maintain accurate records of activities related to the property.

  10. Collect rent daily and prepare for deposit.

  11. Maintain all office service contracts and required back-up.

  12. Attend seminar as required by CRM Residential.

  13. Assist residents with the use of local social services and other related agencies.

  14. Appear in court as required by the Community Manager.

  15. Periodically participate in the annual unit inspections as necessary.

  16. Input and/or preparation of the property's newsletter and any other marketing

material.

  1. Assist Community Manager or Regional Manager in any other duties related to the position.

Requirements

  • High School diploma or equivalent education required

  • Proficiency in Microsoft Office (Excel and PowerPoint in particular)

  • Ability to work with a variety of people and make them feel comfortable quickly

  • Must be able to multi-task

  • Ability to work any scheduled hours as well as additional hours needed to complete the job

  • The position requires effective oral and written communication skills

  • Strong customer service skills required

  • Must have strong organizational and time management skills

  • Bi-lingual Spanish a plus

  • Some administrative experience is a plus
