B/S/S/T Area Agency on Aging, Inc. has an opening for a Towanda Office Manager.  *This is a full time position (40 hrs. a week; Monday-Friday; 8am-4:30pm) with benefits including health, dental and vision insurance, paid time off (vacation, sick, holiday, personal), and 401(k) with Agency contribution after one year of employment. *

B/S/S/T Area Agency on Aging, Inc. is non-profit organization serving older adults in the four-county service area (Bradford, Sullivan, Susquehanna and Tioga Counties, PA). Applicant should have experience working within a non-profit organization.

This position oversees the day-to-day administrative operations of the Towanda office, which include assisting the Executive Director and direct supervision of clerical staff in the Towanda office.  The Office Manager provides administrative oversight of clerical support staff in the satellite offices, ensures smooth functionality by scheduling meetings, managing office supplies, managing visitor reception area and inputting of monthly reports.  This position exercises considerable independent judgement in planning and carrying out assignments along with the application and processing of documentation for the local Area Agency on Aging (AAA) and the PA Department of Aging (PDA).  This position is looking for someone who

Other responsibilities include: 

  • Delegates work assignments of clerical staff
  • Maintains all cooperative agreements
  • Maintains the numerical filing system for administrative, fiscal and AAA programs.
  • Implements and administers special projects
  • Greets visitors and answers incoming phone calls
  • Provides information to the general public about programs and services
  • Schedules appointments for PA MEDI and VITA
  • Prepares mailings for AAA programs
  • Oversee the organizing of terminated files
  • Submits monthly reports from service providers
  • Checks all failed service delivery claims
  • Maintains all Agency vehicles inspections, oil changes and services
  • Prepares documentation submitted to local county assistance offices
  • Arranges all hotel accommodations for staff attending out-of-town trainings
  • Submits notices to the newspapers
  • Takes minutes at all Board meetings and Advisory Council meetings

Applicant must have excellent written and verbal communication skills, must establish/maintain cooperative working relationships, must be proficient in the use of Microsoft Word, Excel, and other software applications and must promote a positive, friendly and professional image to the public. 

Selected applicant must pass a state police criminal clearance, child abuse clearance and if necessary, a FBI clearance.  These clearances will be obtained with assistance from the Area Agency on Aging, and free of charge to the selected individual. 

Minimum Education and Training Requirements:

  • High school diploma (required). Some college is preferred; and
  • Three (3) years of professional administrative experience in an office setting, involving complex clerical work within a nonprofit organization; and
  • One (1) year of clerical supervisory experience; or
  • Any equivalent experience and/or training which provides the required knowledge, skills and abilities to complete this job.  This will be at the sole discretion of the Agency.
