Zurich Canada is currently looking for an experienced Executive Assistant to provide operational and administrative support to our Head of Customer Management and other executive team members as assigned. In this role you will support and interact with senior leadership, other team members and administrative professionals on complex scheduling/project management and information requests. You will be responsible for providing support, including administration of travel, expenses, meeting logistics and distribution of materials, as well as be responsible for a wide range of administrative support that enhances the efficiency of the Executive and team. The Executive Assistant will be able to manage multiple priorities requiring excellent attention to detail and an ability to proactively anticipate needs.

What you will do

  • Provides confidential support to assigned executives, including maintenance of calendars, preparation of agenda and documents for meetings, speaking engagements and presentations and coordinating the preparation of and/or compilation of background materials.

  • Manages relationships with a wide variety of internal and external stakeholders to provide general information and answer questions related to various functions of line of business.

  • Reviews, analyzes and creates business reports.

  • Organizes travel and ensures all aspects of domestic/international travel work seamlessly from start to finish.

  • Oversees the approval of department expenses, including the review of employee expense claims for accuracy and adherence to policy on behalf of Executive.

  • Transcribes/drafts correspondence and prepares documents for signature.

  • Effectively manages Executive’s requests and correspondence with a high level of professionalism, accuracy, and confidentiality.

  • Prepares and distributes internal communications to staff regarding important memorandums, upcoming events or general updates.

  • Assists with the creation and preparation of slides, proposals, onboarding decks, including proofreading and copying/binding.

  • Performs additional duties as assigned.

  • Responsibilities may occasionally need to be carried out outside of regular working hours and/or on weekends.

  • Leading and participating in a variety of projects including event planning and coordination.

Job Qualifications - What you bring to the table

  • High School Diploma or Equivalent and 5 or more years of experience in the administrative area OR College Diploma and 3 or more years of experience in the Administrative area.

  • Minimum of 5 years’ experience as an Executive Assistant in a highly demanding work environment. Prior experience working in a multinational organization is an asset.

  • Strong organizational and time management skills with the ability to plan, organize, and schedule work effectively, managing competing priorities to meet deadlines. Strong attention to detail and accuracy.

  • Excellent verbal and written communication skills, with the ability to relay and clarify information tailored to specific situations and audiences.

  • Strong interpersonal skills and political acuity to build relationships with a range of stakeholders and proactively identify issues for executive discussion and consultation.

  • Ability to handle sensitive and confidential information with discretion, maintaining a professional demeanour and interacting effectively with individuals at all levels of the organization.

  • Ability to work independently, take initiative, and anticipate the needs of the executive.

  • Flexibility and adaptability to changing priorities and demands.

  • Proficient in using productivity tools such as Microsoft Office (Word, Excel, PowerPoint, Outlook).

  • Bilingual (English and French) is an asset.
