Job Overview:

The Coordinator Administrative will serve as assistant to the Chairmen of the various Departments/Sections of the Medical Staff in the daily administrative operation of their respective departments/sections.

Qualifications:

Required:

  • High School diploma or GED

  • Prior administrative or Secretarial support experience

  • Experience recording minutes during meetings

  • Computer skills, including but not limited to Microsoft, Excel, and PowerPoint

  • Excellent time management skills

  • Experience with scheduling and management of heavy phone volumes

Preferred:

  • Experience with payroll

Certifications and Licenses Required:

  • N/A

Scheduling Requirements:

  • 8:00am 4:30pm, with some flexibility for earlier/later meetings

  • Full time, 40 hours per week

Essential Functions:

  • Assist with the daily functions of the office including, but not limited to, heavy phone traffic, inquiries from hospital departments and physicians offices, and requests from physicians

  • Assists in developing new processes and forms on an as needed basis to provide for a more efficient work place.

  • Assists with the Medical Executive Committee and Quarterly Staff meetings

  • Assists in coordinating tasks for the Volunteer Staff

  • Coordinates Medical Staff meetings and calendars

  • Responsible for preparation of agendas, meeting notifications, and follow up of meeting minutes for Medicine Department and Subsections, the Surgery Department and Subsections as well as the Podiatry Department

  • Plans, implements and distributes monthly Medical Staff calendar.

  • Prepares the weekly Physician s Away List and distributes via email and fax

  • Prepares ED Service Call schedules, distribute and is responsible for tracking changes

  • Submits monthly physician payroll from ED Call Schedules

  • Transcribes from dictation system meeting minutes, letters, reports and memos

  • Prepares information for special projects for physicians, physicians offices, and marketing as well as Corporate utilizing Microsoft Office Products

  • Assists with special projects such as, Annual Physician Dinner Dance, Golf Outing, etc

  • Maintain and order office supplies for department.

  • Assist with maintaining information in Verge Credentialing system

  • Maintain Medical Staff Financial accounts by keeping track of expenses, reconciling accounts and preparing Treasurer reports on a quarterly basis
