ProMedica Health System Program Coordinator - Patient Care Staff Development - Full Time - Days in Toledo, Ohio

POSITION SUMMARY

Provides diversified, comprehensive administrative support to the AVP Quality and Evidence Based Practice and Center of Nursing Excellence. This position will serve as a gatekeeper to coordinate all clinical placements for pre-licensure nursing and Advance Practice Providers (APP) including APRN and PA (Advanced Practice Registered Nurse and Physician Assistant) students at ProMedica. The Clinical Student Placement Coordinator manages all aspects of clinical placement process and ensures effective placement and communication of RN and APP clinical experiences. Responsibilities include actively seeking and developing relationships with new clinical sites and preceptors, communicating site requirements for student placement, and following up with clinical sites, as necessary. Additional responsibilities include coordinating and collecting accreditation data, entering information, and maintaining clinical requirements database. This position is responsible for maintaining outstanding relationships with clinical partners. The Administrative Assistant Project Manager is responsible for establishing, cultivating, and continuously building relationships with clinical affiliates/partners to ensure adequate clinical placement opportunities at ProMedica.

The Administrative Assistant Program Coordinator is expected to:

ACCOUNTABILITIES

All duties listed below are essential unless noted otherwise

  1. Provides diversified comprehensive, administrative support to the AVP Acute Care Quality and Evidence Based-Practice and ProMedica Center of Nursing Excellence.

a. Facilitates accurate budget records, (generating, tracking, and maintaining P.O.'s and invoices).

b. Performs payroll support as needed.

c. Creates and maintains ProMedica Center of Nursing Excellence department schedule.

d. Facilitates purchase orders as needed.

e. Orders office supplies as needed and maintains par levels.

  1. Provide real-time scheduling support by booking and managing appointments for AVP of Acute Care Quality & Evidence Based Practice and ProMedica Center of Nursing Excellence.

  2. Maintains polite and professional communication via phone and email for the director as needed.

  3. Supports councils, committees, and task forces as needed through preparation of agendas and materials, and the recording and distribution of minutes.

  4. Coordinates and plans ProMedica Evidence Based Practice Immersion events in conjunction with the AVP Acute Care Quality & Evidence Based Practice.

  5. Serves as the ProMedica Center of Clinical Excellence representative as an LMS administrator and perform LMS functions as needed.

  6. Serves as the primary coordinator for RN, BSN, MSN, APRN, PA and DNP student clinical experiences at ProMedica.

  7. Maintain ProMedica Learning & Education Building lease details, records, and coordinates preventative maintenance and repairs as needed in collaboration with System Facilities.

a. Creates and maintains PCNE room invoicing / budget journal entries for room rental reimbursement.

  1. Serves as a liaison to ProMedica academic partnerships to secure and coordinate clinical placement for all RN and APRN students by exhibiting a professional level of written and oral communication skills to build a strong relationship with clinical partners, preceptors, clinical course faculty and directors.

  2. Coordinates and assists ProMedica clinical practicum site leaders to establish a network of preceptors for RN and APRN clinical experiences by building relationships and utilizing other methods of outreach to secure and recruit preceptors.

  3. Ensures that all correspondence with academic affiliations is accurate and completed in a timely manner including but not limited to pre-placement, placement, and post placement communication (i.e., change in preceptor, outstanding orientation requirements).

  4. Creates and maintains excel database of clinical rotation sites and preceptors to ensure complete and accurate RN, APRN & PA placement information. Compiles reports and communicates data and information to the appropriate stakeholders both internally and externally.

  5. Verifies all documents for clinical placement requirements are completed prior to the start of the clinical practicum including health records compliance, orientation requirements are met, a ProMedica student ID# established and a confirmed preceptor assignment.

  6. Notify college faculty, students, clinical site coordinators and preceptors of issues and find solutions to problems that may arise with clinical practicum placements in a timely manner.

  7. Performs support functions at the direction of the AVP Quality & Evidence Based Practice including, but not limited to class management and correspondence, electronic filing of orientation records, answering telephones, and provide classroom support as needed.

  8. Support and coordinate projects as needed for the following ProMedica System

Departments:

a. Quality Data Analyst Team

b. Epic Evidence Based Specialist Team

c. Safety Team

d. Experience Team

e. Clinical IT Operations

f. System Nursing Leadership Project Coordination as needed REQUIRED QUALIFICATIONS

Education: Bachelor’s degree required in Healthcare Administration or related field or must be enrolled with anticipated completion within 3 years of hire.

Skills: This candidate must demonstrate independence, time management, self-direction, and quality decision-making skills. Requires initiative, discretion, organizational ability, and the ability to coordinate multiple projects simultaneously. Well – developed verbal and written communication skills and excellent public relations skills is highly recommended. The highest level of interpersonal communication skills and organizational skillset will assure success in this role. Must be capable of working independently and with confidential information with a high level of discretion. Must be able to assume and complete a large workload in a timely manner. Excellence computer skills including proficiency in Microsoft office including word, excel and outlook is required. Must be able to understand directions, communicate and respond to inquiries. Receives minimal supervision and guidance. Superior organization skill and dedication to completing projects in a timely manner. Requires knowledge of business operations, organizational abilities, and critical thinking.

PREFERRED QUALIFICATIONS

Education: Bachelor’s degree in Healthcare Administration

Years of Experience: 3-5 years administrative experience with previous healthcare educational

support experience. Project management is a benefit.

ADDITIONAL EXPERIENCE

Must be proficient with Microsoft Office products. Must have or have the capacity for specialized computer training for systems within areas of responsibility. Must be capable of working independently and with confidential information. Previous health system and/or graduate medical education institutional experience helpful. Must be able to understand directions, communicate and respond to inquiries; requires effective. Interpersonal skills. Requires excellent verbal and written communication skills. Must be able to demonstrate discretion in dealing with professional and personal situations. Must function as an integral member of a team. Must be able to work independently with minimal direction.

WORKING CONDITIONS

Personal Protective Equipment: N/A

Physical Demands: Must be able to move about the department/campus and between workstations. Must be able to occasionally move, lift and/or carry lightweight objects and supplies. Works in a professional office environment with possible high stress levels. May need to work irregular hours to accommodate educational needs and impending deadlines. Travel to clinical sites and meetings outside the organization will be required.
