ABOUT THIS ROLE

We are looking for an organized problem solver to fill this Recruiting and Hub Coordinator role. In this role, you will support our local Hub team as well as Talent Acquisition. You will be involved in all the tasks that keep a team running - scheduling and coordinating meetings, creating, planning and executing office and team events including Executive visits, organising Volunteering activities with partner organisations, maintaining the office environment, as well as scheduling hiring interviews, assisting with onboarding and events, maintaining data, and additional administrative tasks as required.

As a Recruiting & Hub Coordinator, you will...

Support the global recruitment team as a Recruiting Coordinator:

  • Support the Talent Acquisition Team in scheduling candidate interviews, ensuring the best candidate experience

  • Maintain expertise in recruiting systems, processes, and compliance

  • Maintain a strong understanding of the Company's organisational structure and APAC employee policies

  • Assist with documentation and process maintenance: updating internal wiki and reference guides proactively, updating and creating new email templates, sharing recruitment or local culturally relevant updates with the larger team

Manage the Hub in support of the local Hub Leader:

  • Coordinate and manage Hub and regional meetings

  • With hub leadership direction, plan, coordinate and execute hub events and celebrations

  • Partnering with internal stakeholders and external organisations to organize volunteering activities as part of our Activate Caring principle

  • Plan and coordinate international leadership visits. This may include complex travel arrangements

  • Purchasing for the office, including preparing expense reports

  • Prepare tracking reports as required by hub leader

  • Track and drive completion of key deliverables and follow up on outstanding items and action items

  • Manage all hub needs from liaising with and supporting facilities, ordering food and drinks, and ensuring our hubs are well maintained

Basic Qualifications

  • Experience in office management and/or executive assistant functions

  • Experience in planning and executing events

  • Experience with Microsoft Office Suite including but not limited to Word, Excel, PowerPoint, and Outlook

  • Business fluency in English and Japanese

Preferred Qualifications

  • Experience in Human Resources or related field

  • Customer focus, attention to detail and organization skills

  • Analytics and/or reporting experience

  • Strong communication skills, spoken and written

  • Ability to work with various levels of internal and external customers

  • Understanding of recruitment processes in general

  • Experience with Executive level scheduling and communications

  • Ability to work independently with little supervision and successfully resolve ambiguity
