Summary The Program Support Assistant of the VIST (Vision Impairment Services Team) at the James A. Haley, VAMC is the first line of contact for patients and referral sources of the clinic. They are part of the Vision Impairment Services Team. This team includes low vision optometry clinic, neurology-traumatic brain injury optometry clinic, low vision therapy, and orientation and mobility and works closely with blind rehabilitation services (BROS) and the (VIST) team coordinator. Responsibilities Duties include but are not limited to: Acts as the point of contact for the VIST Team and patients. Prescreens patients and obtains patient information. Communicates with patients· and assists with determining service eligibility, and sends specific written information to the patient concerning the initial scheduled service and other appropriate services as indicated. Schedules patients' appointments and places a patient reminder call and appropriate letters for all patient appointments with the VIST Team. Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written or electronic communication. Composes letters and reports, reviews correspondence for accuracy and completeness, assists with preparation of presentation outlines and materials, and develops form letters and replies to inquiries Extracts data and builds data tables Triages phone calls Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to community organizations. Acts as liaison to other managers and staff of the Ophthalmology/Optometry Clinic, Visual Impairment Services, Blind Rehab Outpatient Specialist (BROS) Physical Medicine and Rehabilitation Service, Audiology, Social Workers, Vocational Rehabilitation and other blind related agencies. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/02/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Typing Requirement: This position has a typing requirement of 40 words per minute. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: 1. Experience with patient interviewing techniques. 2. Experience of data collection and analysis. 3. Preparing reports and spreadsheets. 4. Proficient in Excel, Word, VISTA/CPRS and in patient scheduling (i.e., GUI, VISTA, etc.) 5. Experience creating flyers, brochures and statistical graphs. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Work entails some movement within the facility as well as sedentary work. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.
